We are seeking a highly organized and proactive Program Coordinator to support our University Development Directors in efficiently managing their responsibilities. This role plays a critical part in ensuring that our development activities are executed effectively, and our directors' time is optimized.
The position provides high level administrative support for the Senior Executive Director of Development and the Senior Director of Strategic Initiatives. The successful candidate must be able to work collaboratively as a member of the development team and the larger administrative coordinator team across External Affairs. Responsibilities include, but are not limited to: carefully managing, scheduling, and organizing the directors' schedules and interaction with faculty, senior administrators, alumni, donors, volunteers, and others; coordinating complex travel arrangements - both domestic and international; drafting correspondence; and aid in budget tracking. This position will interact with senior administrators, prospects, donors, and faculty. Participate in confidential, ongoing cross divisional projects including back up support of the Chief Advancement Officer for External Affairs. Poise, maturity and excellent judgment are required for this position, as well a high attention to detail.
Job Description
Job Responsibilities
  • Proactively manage the directors' calendars to ensure optimal workday flow, prioritizing and ensure needed materials are prepared and available in a timely manner; manage calendar to ensure meetings are prioritized as needed.
  • Effectively and efficiently manage director's time by taking initiative to synthesize and prioritize the heavy workload to ensure work is completed on time and at a high level.
  • Administratively lead key projects and workflow for the directors, ensure deadlines are met and work is performed at a high level. Ensure tasks are completed and submitted in a timely manner.
  • Coordinate the Directors' complex travel needs including coordination with other EA team members, the Dean's Office and donor's administrative staff; proactively ensure travel dates are scheduled; ensure end-to-end logistics are scheduled in a timely fashion; complete travel reimbursement report accurately.
  • Develop a strong working knowledge of the University CRM and other databases to ensure development activity and strategy is up to date with information necessary for tracking, cultivating, soliciting and stewarding donors. Create reports and handle data inquiry as requested.
  • Proactively assist directors in the management of top prospects and volunteers, participate in prospect strategy meetings.
  • Support cultivation and stewardship activites for the directors' assigned prospects, which includes reviewing daily gift logs.
  • Coordinate team budget - handle all purchase requests and reimbursements for the directors, including travel. Review monthly financial statements for accuracy.
  • Assist the Senior Executive Director with duties associated with School and University committees.
  • Draft correspondence (thank you, acknowledgement, memos and other assignments) and work collaboratively with the EA writing team as needed.
  • Provide assistance and/or lead on cross divisional projects, including, but not limited to, dean calendar scheduling, supporting VIP visits and event and dean's office requests.
  • Ability to manage multiple priorities at once and work in a fast-paced high-quality environment.
  • Ability to handle highly confidential information with discretion and care.
  • Other duties and responsibilities as assigned

  • Bachelor's degree, and 3 to 5 years of experience or equivalent combination of education and experience is required.
  • Demonstrated ability to manage multiple projects and presentations simultaneously under tight deadlines required.
  • Highly competent with computer software: Microsoft Office (word processing, spreadsheet, power point) and relational databases knowledge required.
  • Excellent written, organizational and oral communication skills required.
  • Excellent decision-making and ability to work independently with limited supervision.
  • Expertly skilled in-office procedures.
