We are seeking a highly organized and experienced Office Manager to oversee the day-to-day operations of our dental practice. The ideal candidate will possess exceptional leadership skills, strong business acumen, and a passion for delivering outstanding patient care. As the Dental Office Manager, you will play a critical role in ensuring the smooth functioning of the office, managing administrative tasks, and fostering a positive work environment for our team.
Responsibilities:
1. Administrative Management:
- Supervise and coordinate front and back office staff to ensure efficient office operations.
- Oversee day-to-day administrative operations of the Dental Office.
- Manage scheduling and appointment systems to ensure efficient patient flow.
- From time to time, assist the front office with patient check-in and check-out, answering phones, scheduling and payments.
2. Financial Management:
- Monitor accounts receivable and collections processes.
- Prepare financial reports and budgets.
- Work closely with dental providers to optimize revenue generation and manage expenses.
- Handle payroll processing and vendor payments
3. Staff Management:
- Recruit, train, and evaluate all Dental Office staff.
- Foster a positive and supportive work environment, while supervising and managing the team.
- Schedule staff shifts and ensure adequate coverage.
- Conduct monthly staff meetings and morning huddle to communicate updates, address concerns, and ensure smooth operations.
- Assist in the recruitment and onboarding of new staff members.
- Manage employee records, benefits, and time-off requests and ensure compliance with HR policies and procedures.
4. Patient Relations:
- Handle patient inquiries, concerns, complaints, and feedback in a professional and timely manner.
- Ensure exceptional patient service and satisfaction.
- Implement and maintain strategies to enhance patient retention and loyalty.
- Coordinate with front and back office to optimize patient flow and scheduling.
- Present treatment plans and options to patient base and follow through with collections.
5. Regulatory Compliance:
- Stay up-to-date with regulatory requirements and industry best practices.
- Ensure compliance with OSHA, CDC, and other applicable guidelines.
- Implement policies and procedures to maintain a safe and sanitary environment.
- Facilitate staff training on compliance protocols and safety measures.
- Maintain accurate and up-to-date records to meet regulatory requirements.
6. Billing and Financial Management
- Oversee billing processes, insurance claims. and financial transactions.
- Monitor accounts receivable and work to minimize outstnding balances.
- Collaborate with billing and front desk to minimize these concerns.
7. Supply and Inventory Management
- Assist the owner in contacting vendors for repairs of dental equpment and the office, as needed
- Monitor and control expenses related to supplies and equipment
- Oversee inventory of dental supplies, and personally handle the ordering of ofice supplies and large dental equipment orders.
8. Technology and Systems
- Implement and manage office software systems, including dental practice management software.
- Train staff on the use of technology and ensure smooth integration of systems.
9. Facility Management
- Coordinate maintenance and repairs for the Dental Office facility.
- Ensure a clean and organized working environment.
- Address any issues related to office equipment and infrastructure.
10. Continuing Education and Training
- Facilitate ongoing training for staff to keep them updated on industry trends and best practices.
- Encourage professional development and certifications for yourself and the whole team.

Job Type: Full-time
Pay: $55,428.00 - $64,715.00 per year
