Description:Database Management:
- Determine security permissions for all Raiser’s Edge users and conduct all in-house staff training for those using the database; ensure that data standards are set and adhered to throughout the entire organization
- Analyze and optimize code structures for Raiser’s Edge records, including those for Constituents, Attributes, Funds, Campaigns, and Appeals; ensure that codes and data structures support the needs of the Development, Finance, And Communications departments
- Recommend, undertake and document major data improvement projects to enforce consistency, streamline operations, improve data reporting, and otherwise support the effectiveness of the organization’s fundraising strategies
- Conduct donor/prospect research for CEO, Board members and others as directed
- Establish regular, ongoing system reviews to maintain data integrity
- Ensure that gifts are recorded and processed in a way that reflects the donor’s intentions and aligns with appropriate categorizations for appeals and funds
- Ensure timely processing of data for acknowledgment letters; organize and ensure appropriate retention of gift and donor documentation
- Provide ongoing assistance to database users; fulfill users’ query and export requests; create customized queries, reports and dashboards for users
- Manage contracts and relationships with Blackbaud and other technology suppliers, as well as database consultants
- Obtain Raiser’s Edge updates and upgrades from Blackbaud, read all accompanying documentations, collaborate with IT support to prepare for upgrades and train staff to use new features properly
- Maintain advance knowledge of Raiser’s Edge system
- Create and implement up-to-date Standard Operating Procedures for entry and reporting and ensure all entries conform to these procedures.
General Responsibilities:
- Completes a broad variety of administrative tasks that aid in facilitating the CEO
- Works closely with CEO on upcoming commitments and responsibilities, following up appropriately
- Serves as the primary point of contact for internal and external communication, including the coordination/scheduling of meetings, and sending reminders
- Takes accurate minutes during staff & subcommittee meetings and prepares meeting minutes
- Travels to various institutions as needed
- Assists development department with all special events
- Organizes meetings, including setting up, ordering meals, scheduling delivery/picking up orders when necessary
- Invests in building long-lasting relationships externally and internally
- Serve as additional back up to Client Services Representative, as needed
Training and Development:
- Must understand and embrace Adopt-A-Family’s mission
- Attend all staff and department meetings
- Keep all staff aware of special events coming up and how their participation will help the event
- Attend any required courses for the agency
- Attend any courses that may pertain to your position as requested
Requirements:
- College degree preferred, will consider certifications in database management in lieu
- 3 years’ experience with Raiser’s Edge or other donation management/customer relationship management software
- 3 years administrative experience supporting senior/executive level staff
- Excellent communication and writing skills, and knowledge of proper grammar usage and correct spelling
- Strong organizational, time management, and computer skills
- Strong critical thinking and problem-solving skills
- Ability to relate to Agency’s clientele from all socio-economic levels with a high degree of professionalism
- Ability to multi-task, prioritize, and adapt to and accept change as required
- Ability to provide a quick response and respond with appropriate levels of urgency to situations as needed
- Intermediate to advanced skill level with Microsoft Word, Excel, and Outlook
- Valid FL Driver’s License, ability to drive to and be insured
- Ability to show proficiency in essential functions of position within 60 days of hire.
- Ability to have a flexible schedule to attend evening meetings and events as necessary
