Job Description
SERVPRO of Broome, Tompkins & Tioga Counties is currently looking for a Customer Service Representative / Job File Coordinator to join our growing team. You will work directly with our office staff to ensure all administrative tasks are efficiently and effectively implemented. The successful candidate must have strong interpersonal skills, the ability to manage multiple tasks at once, work in a fast paced environment and have a wide breadth of experience managing clerical responsibilities and problem solving.
Job Duties:
- Perform all job file coordinator tasks related to customer calls, job monitoring, tracking, coordination, and audits of jobs
- Create preliminary estimates and job file backup
- Perform general office duties, such as drafting correspondence, filing, and creating reports
- Monitor job file status and job file audit status
- Maintain job file WIPs
- Monitor and ensure client requirements are followed
- Review and validate initial field documentation
- Daily job file coordination, including preparing job file reports, performing job file backup, and completing job file audit process
- Maintain internal and external communications
- Complete and review job file documentation for final upload and the audit process
- Perform job close-out
- This position requires excellent verbal communication among production, construction and accounting departments as it relates to job file needs and timelines.
Position Requirements & Qualifications:
- Possess polite, confident, and excellent Customer Service skills, including listening and questioning skills
- Outstanding communicator, both orally and written
- 2+ year(s) of administrative or office-related experience
- Associates Degree preferred
- Experience with Microsoft Suite- Word, Excel, etc.
- Team Player
- Self-starter who works well independently
- Ability to multi-task
- Capability to work in a fast-paced, team-oriented office environment
- Experience in service industry environment a plus
- Ability to prioritize given tasks and work efficiently towards completing them
- Familiar with common office equipment (printers, copier, fax, etc.)
- Ability To Adapt To Other Computer Software Programs
- Flexibility in Changing Priorities throughout the day.
- Detail-oriented and exceptional organizational skills
- Experience with complex file management
- Professional demeanor
- Able to successfully complete a background check subject to applicable law
- Pre-employment Chemical Screening required
Compensation & Benefits:
- Monday through Friday 7:30 a.m. – 5 p.m., additional time as needed.
