Job Summary:


The Customer File Coordinator’s main responsibility is to oversee the day to day completion of UHG Jobs in que and ensure they are processed in an efficient and timely manner to meet SLA dates. They will be responsible for verbal and written communications to the client. They will maintain an active role with print and insert production, the quality team as well as management. They are responsible for daily production sweeps to identify and locate any series of jobs using the prescribed reporting methods. They will need to trouble-shoot file and production issues as they occur in a timely manner. In addition, they will complete prescribed training in order to stay current on standard work processes as directed by their manager.


Responsibilities include:


  • Prioritize Work
    : Oversee jobs/tasks in Que and ensure they are processed in an efficient and timely manner.
  • Expedite Process: Ensure that each job/task is processed correctly from beginning to end by the due date.
  • Quality Control: Work with QC team to resolve issues to meet production requirements as needed. Perform tasks within department that require QC functionality. Oversee clients tests to ensure output is produced according to specifications.
  • Production Interaction: Knowledge of production and responsible for interfacing with client and/or production as needed.
  • Hands on Learning: Work within the department to provide support to CS Team.
  • Perform Special Tasks: Complete special projects as assigned in a timely efficient manner as directed by Management.
  • Reporting Responsibilities: Be able to provide periodical data reports as requested by management or the client.
  • Work Schedule: Must be flexible as workload /team needs change to meet demands.
  • Communication Skills: Ability to clearly communicate with both clients and internal staff in order to meet customers’ needs.
  • Process Improvement: Make suggestions for efficiency improvement.
  • File Coordination: Must be able to move specific customer files from dedicated file folders to print devices within the print room to meet production demands.

    Required Skills and Abilities
    • Must possess the ability to read and write English
    • Previous Mail Delivery experience preferred
    • Knowledge of Lean Manufacturing desired
    • Ability to problem solve and apply resolution
    • Strong oral and written communication skills
    • Oral Comprehension: The ability to listen to and understand information and ideas presented through spoken words and sentences
    • Oral expression: The ability to communicate information and ideas in speaking so others will understand
    • Strong organizational skills
    • Ability to prioritize work efficiently as required
    • Knowledge of MS Applications.

    • Education/Experience:
    • High School Diploma or GED required
    • Bachelor’s degree from an accredited 4- year college preferred
    • Experience in Customer Service
    • Knowledge of print/mailing production desirable
