As a Customer Care Representative at Apex Dental PA, you will play a pivotal role in delivering an outstanding patient experience and maintaining the highest standards of customer service excellence. You will serve as the initial point of contact for patients, providing friendly and professional assistance, scheduling appointments, and addressing inquiries and concerns with empathy and efficiency. Key Responsibilities:
Greet patients warmly and assist them in scheduling appointments, verifying insurance coverage, and completing necessary paperwork.
Respond promptly to patient inquiries via phone, email, or in-person, providing accurate information and addressing concerns with empathy and professionalism.
Coordinate patient appointments and treatment schedules, ensuring optimal utilization of clinic resources and efficient patient flow.
Confirm upcoming appointments and follow up with patients regarding any necessary pre-appointment instructions or reminders.
Assist patients with understanding their dental insurance coverage, explaining benefits, and processing insurance claims accurately and efficiently.
Handle billing inquiries, process payments, and provide assistance with financial arrangements and payment plans as needed.
Proactively identify opportunities to enhance the patient experience and exceed their expectations through personalized service and attention to detail.
Listen attentively to patient feedback and concerns, taking appropriate action to address issues and ensure patient satisfaction.
Collaborate closely with dentists, hygienists, and other staff members to coordinate patient care and ensure a seamless experience from scheduling to treatment completion.
Communicate effectively with clinical and administrative teams to maintain accurate patient records and ensure timely follow-up on patient needs and requests.
Build strong relationships with patients and community members, demonstrating our commitment to their oral health and overall well-being.
Qualifications:
High school diploma or equivalent required; additional education or training in customer service or healthcare administration preferred.
Previous experience in a customer service or patient-facing role, preferably in a dental or healthcare setting.
Excellent communication and interpersonal skills, with a friendly and approachable demeanor.
Strong organizational abilities and attention to detail, with the ability to multitask and prioritize tasks effectively.
Proficiency in dental practice management software and Microsoft Office suite preferred.
