TITLE: Customer Care Associate

DEPARTMENT: Operations, (Administration)

PAY STATUS: Full-time, Non -Exempt, Salaried, At-Will role

POSITION RELATIONSHIPS: Reports to the Office Manager

POSITION SUMMARY

ProCare Medical seeks a full-time Customer Care Associate reporting to the Office Manager to assist the Operations and Sales Teams. While helping the Office Manager with accounting procedures and record keeping, customer service regarding bookkeeping and HR and recruiting support, and general functions of the office. The Customer Care Associate's core responsibilities are order entry, record keeping, general bookkeeping, and answering phones.

RESPONSIBILITIES

  • Provide quality service and office support in various areas, including, but not limited to, customer calls and inquiries to the office, support of field sales reps, and purchase orders.
  • Receive, direct, and relay telephone messages.
  • Professionally handle and resolve incoming customer requests promptly and thoroughly.
  • Thoroughly and efficiently gather and track information to provide updates to customers or internal representatives and access and fulfill customer needs through information tracking.
  • Provide office support services to ensure efficiency and effectiveness within the ProCare office.
  • Support Office Manager with AR/AP and inventory in QuickBooks.
  • Enter invoices and receipts into QuickBooks.
  • Assist the Office Manager with the order processing between the front and back offices.
  • Maintain the general filing system and file all customer records.
  • Provide support within Microsoft Office 365 for Office.
  • Additional responsibilities and tasks as needed.

REQUIREMENTS

  • Must be available 40 hours per week in the office.
  • Experience with Purchase Orders, AP, AR, bookkeeping, and QuickBooks is preferred (willing to train).
  • Previous experience with healthcare or medical equipment is a plus.
  • Robust written, verbal, listening, reporting, communication, and organization skills.
  • Must be self-motivated and able to work independently and with teammates, prioritize work, complete assignments timely, and maintain professionalism in a fast-paced, ever-changing environment.
  • Experience with multiline telephone systems is a plus.
  • Bi-lingual (Spanish) is a plus.
  • Demonstrated passion for excellence concerning treating and caring for customers.

  • Highly developed sense of integrity and commitment to customer satisfaction.
  • Computer literacy and Microsoft Office 365 Suite, Dropbox, and Zoho experience are a plus.
  • Pleasant, patient, and friendly attitude.
  • Possessing a strong work ethic and team player mentality.
  • Understanding the importance of accuracy in inventory monitoring is a plus.
