Purpose of Position
Under the direction of the Clerk of Court, this position performs a variety of duties, which require skilled clerical, record keeping, computer knowledge and public contact work. The position is responsible for case management of all cases filed with the Clerk of Courts Office. The normal work schedule is Monday through Friday 8:00 a.m. to 4:30 p.m.
Essential Functions
To perform this job successfully, an individual must be able to perform each essential function satisfactorily and in a timely manner. The following duties are normal for this position. These are not to be construed as exclusive or all inclusive. Other duties may be required or assigned.
Serves as Deputy Clerk in all case type proceedings including Family, Paternity, Civil, Traffic, Forfeiture, Recovery Court, IVD Court, Financial and Small Claims Court in his/her absence.
Maintains confidential criminal case information to ensure the protection and preservation of all court records and materials relating to cases. Determines confidential documents and manages appropriately. Maintains confidentiality as appropriate to include victim contact information and doctor competency reports.
Maintains criminal cases including misdemeanors, criminal traffic violations and felonies.
Conducts case management, filing/recording documents, opening/closing cases, coordinating cases with other agencies and law revisions.
Initiates cases electronically and manually by entering case numbers, case types, names and assigned court dates in CCAP. Reviews documents for accuracy and completeness.
Conducts case management by receiving legal documents, date stamp, scan and properly record court documents in CCAP. Complete and distribute e-filed and/or paper documents to appropriate parties. Authenticate documents if necessary. Reviews all cases scheduled prior to court.
Prepares daily calendars from CCAP. Determines if the necessary documents have been filed. Monitors the court calendar/schedule. Provides upcoming court dates as needed. Produces Notice of Hearings for upcoming hearings.
Monitors and takes appropriate action to maintain case flow and case disposition, follows up with status letters if necessary.
Reviews/ prepares files to determine if interpreting services are required. Schedules/arranges court certified interpreters for upcoming hearing.
Prepares, drafts and processes bonds set during court proceedings, Probation Judgment of Convictions, Prison Judgment of Convictions, Judgment of Dismissals, Civil Judgements based on court's findings/rulings.
Completes necessary paperwork for issued warrants and warrant cancellations.
Prepares, drafts and processes other varieties of documents, notices, and forms (i.e. notice of hearings, dispositions, court orders, judicial transfer forms, driver's license suspensions).
Responsible for ensuring documents are forwarded to appropriate court official for signature. Distributes documents to appropriate persons or agencies and law revisions.
Receipts applicable filing fees by credit card, cash, check or money order for bail bonds, traffic fines and forfeitures, sheriff sale proceeds, out of county bond postings.
Records accurate minutes, administer oaths and manage exhibits and documents. Proficiency to operate technical equipment including Zoom application and Digital Audio Recorder.
Coordinates video conferencing equipment and Digital Audio Recording equipment when necessary. Provides technical court support when needed.
Forwards contested files to Judicial Assistant for further scheduling.
Docket judgments, certificate of satisfactions, transcript of judgment, bench warrants, foreign judgments and court dispositions.
Assists with records and judgment searches.
Assists other agencies and the general public with access to the public access CCAP terminals.
Prepares files for transmittal in cases of appeal according to the State Appellate Court procedure.
Prepare documents for certification for the, District Attorney, Defense Counsel and general public as required.
Review Judicial Assignment Applications and mail notices to interested parties. Work with out of county judicial staff to coordinate future hearing dates and generate notice of hearings for cases.
Provide backup fiscal accounting/bookkeeping functions as needed. Reports necessary data to State/Vital Statistics Department regarding family and civil cases.
Maintains up to date knowledge of the Consolidated Court Automation Programs (CCAP) state computer system. Participates in ongoing training.
Assists the general public with U.S. Passports by completing training and maintaining Passport Acceptance Agent Certification.
Maintains annual passport certification to assist public as a Passport Processing Agent. Provides information, forms, assembly and tracking of passport applications.
Transmits passport applications to the Department of State.
Performs public reception. Greets, screens and directs visitors and callers. Provides information to inquiries, complaints and concerns or refers to appropriate person or agency.
Participates in office rotation serving as receptionist whose duties include opening and closing vault, answering the phone, taking messages, referring calls to appropriate person or agency, receipting monies, processing passports, filing small claims, divorces, etc., preparing bonds, restraining orders, payment plans, wage assignments, balance cash drawer and assure courtroom and law library security at the end of the day. Provides general information to public in absence of Judge's office staff.
Cross-trained to assist and serve as back-up where needed within the department.
Picks up and assists with sorting of incoming mail.
All other duties as assigned.

Training, Experience and Other Requirements
Associates Degree in Legal, Business, Public Administration or related field or equivalent experience required. Two years of work experience in a related legal field, or six months in a Clerk of Courts Department. Experience within the past five years is preferred.
