Job Description:
Limited Duration: This is a full-time, limited-duration position currently funded through June 30, 2025. Continuation beyond that date is subject to available funding.
If you are a current Oregon Judicial Department regular status employee, acceptance of a limited duration status position does not change your status to limited duration (although trial service status may still apply). See Judicial Department Personnel Rules 2.42 and 6 for more information or contact your assigned HR Manager.

Benefits to you
  • We pay 95% to 99% of medical insurance premiums for full-time employees, including mental health coverage.
  • The hourly equivalent for this position is $23.98 - $37.20.

Location Highlights
Oregon City, Oregon, rests on the Willamette River southeast of Portland. It is part of the Portland Metropolitan Area (along with Beaverton, Gresham, Hillsboro, and Vancouver, WA). Oregon City was the first capital of Oregon prior to the creation of the Oregon Territory in 1848. Before settling on Salem in 1864, the capital was moved several times to several different cities. It is also the end point of the Oregon Trail. Oregon City has the only "vertical street" in the nation, Elevator Street. Activities include museums, historic buildings, and more than 22 city parks, including Clackamette Park at the confluence of the Willamette and Clackamas rivers. Oregon City is also home to Willamette Falls, the largest waterfall by volume in the Pacific Northwest.
Position Highlights
The Clackamas County Circuit Court is hiring an Indigent Defense & Civil CaseData Entry Clerk(Court Operations Associate).
In this role, you will perform Data Entry related to applications for, and appointments and denials of, court-appointed attorneys, to attorney assignments, and to assignment modifications. Based on the conditional appointment of counsel by a judge, you will evaluate defendants' eligibility for court-appointed attorneys and will appoint or deny court-appointed attorneys as appropriate. You will review proposed orders and judgments for legal requirements, note any deficiencies for judicial review, process documents, and attend protective order application court sessions as needed. Part of your time will be spent preparing correspondence related to contribution amounts owed, updating spreadsheets for internal and external customers, and scanning applications into the electronic case management system.
You will provide customer service in person, over the phone, and in writing to self-represented litigants and attorneys by reviewing cases and identifying case statuses and next steps. You will respond to questions and provide guidance to attorneys, judicial staff, other agencies, and the public about applications for court-appointed attorneys and about court processes and procedures for all case types. You will also collaborate with other units within the court as needed.
Additionally, you will process non-criminal cases, including civil, family law, protective orders, identity records, arbitration, and juvenile emancipation. You may be assigned to one primary work category, which involves performing all steps for multiple processes and case types within that category. Assigned tasks may be changed to accommodate workload and organizational needs.

Minimum Qualifications
(These must be evident in your resume or work history.)
The qualified candidate must have a high school diploma or equivalent.
AND
At least three (3) or more years of responsible experience in a moderately complex office or business setting involving the processing of financial, administrative, or legal documents.
OR
Any combination of education and experience equivalent to three (3) years of experience that typically supports the knowledge, skills, and abilities for the position.

Requested Skills and Attributes

  • Experience performing high volume Data Entry with low error rate with strict deadlines in a busy work environment.
  • Experience performing quality control review using a variety of web-based software programs to review, modify, enter information, and complete various tasks.
  • Skill in communicating verbally and in writing with different groups of people where high stakes are involved.
  • Skill reviewing documents for accuracy, content, grammar, and punctuation.
  • Experience identifying, handling, and securing confidential information and materials.

Working Conditions
  • This is a full-time, limited-duration position, and the work schedule is 8:00 a.m. to 5:00 p.m. Monday through Friday. This position is eligible for overtime compensation for hours worked in excess of 40 per work week.
  • Occasional overtime work may be required.
  • Frequent phone and in-person contact with people from diverse backgrounds.
  • Frequent phone and in-person contact with people who may be facing challenging life circumstances, highly stressful situations, or trauma. Frequent exposure to difficult or hostile customers.
  • Fast-paced environment with multiple deadlines for daily court sessions.
  • Regular use of the following equipment: telephone, OJD-assigned computer with multiple monitors, copy machine, fax machine, and scanner.
