Ravinia® is both North America’s longest-running not-for-profit music festival and its most artistically diverse. Over 100 different events by a mix of classical, rock, pop, jazz, R&B, indie, and country performers make up a typical summer season on our two open-air and two indoor stages. Each year the Chicago Symphony Orchestra is featured in six weeks of concerts, many with Chief Conductor Marin Alsop. During the same summer months, the Ravinia Steans Music Institute provides young professional classical and jazz musicians with career-advancing training and concert settings.

Offstage and year-round, Ravinia’s Reach Teach Play education programs engage 85,000 children and adults—in schools with little to no music curriculum, in our Chicagoland communities, and at our 36-acre park—in our mission to make music equitably accessible to all.

Job Description

Position Summary

The Corporate Relations Coordinator is a new position that will play an important role in Ravinia’s fundraising efforts. This position will report to the Director of Corporate and Foundation Relations and also work closely with the Corporate Relations Manager in a supportive role in a wide variety of activities to help implement strategies and programs that generate giving through Corporate sponsorships and partnerships to meet the revenue goals of the Ravinia Festival.  In addition, this position will provide supplemental support to the Manager of Foundation Relations and Manager of Golf Outing and Development Events. This position will have the opportunity to interface with every department at Ravinia including Communications, Ticket Operations, Facilities, Finance, Production, and Artistic.

 

Duties and Responsibilities

 

Corporate Relations Responsibilities

Assist Director of Corporate and Foundation Relations implementing the annual sponsorship campaign, which includes:

  • Prepare written materials for website and donor emails
  • Prepare standard proposals and sponsor decks upon request
  • Complete cyber grant applications and reports for Corporate Sponsors, which may include requests for concerts, Reach Teach Play programs or special events.
  • Fulfill and track details of sponsorship recognition and benefits in contract agreements
  • Track delivery of pledge letters and invoices, submission of internal pledge forms and receipt of payments of corporate sponsors
  • Maintenance of season calendar of concert sponsorship opportunities for development department
  • Manage donor database for Corporate team including maintaining up to date records of company contacts
  • Management of standard entertainment benefits for all Corporate Sponsors (tickets, parking, corporate donor concierge service)
  • Conduct research of corporate sponsor prospects as requested
  • Produce creative documents for sponsors or prospective sponsors as needed

 

Assist Manager of Corporate Relations as follows:

  • Fulfill and track all Corporate Partners assets including acknowledgment in publications and website, ticket and parking benefits, needs for events and dining reservations requests.
  • Track delivery of pledge letters and invoices, submission of internal pledge forms and receipt of payments of corporate partners
  • Enter donor complimentary ticket, parking and dining reservations request during DTR (Donor Ticket Request) into database
  • Management of standard entertainment benefits for all Corporate Partners (tickets, parking, corporate donor concierge service)
  • Collect fulfillment assets from Corporate Sponsors
  • Manage onsite activations of sampling/display sponsors including day-of logistics, parking, deliveries, set up requirements, tear-down, etc….
  • Manage sponsor day-of concert signage including confirming placement each day and taking photos
  • Photograph all sponsor assets including season-long recognition throughout the park and onsite day-of single activations and events
  • Sponsor Reports - Compile PowerPoint reports for all Corporate Sponsors – includes photos of all signage and logo recognition including onsite, in the Ravinia Magazine, website, social media posts, etc; documentation of tickets and parking requested, donor events, related Ravinia events, season attendance, etc..
  • Assist with all corporate sponsor and internal events including Wine Club, Corporate Night Reception
  • Other duties as assigned
  • Opportunity for growth to directly manage donors.

 

Foundation and Government Relations Responsibilities

  • Assist the Manager of Foundation and Government Relations to provide support of supplemental materials for grant proposals and reports.
  • Work with the Manager of Foundation and Government Relations to gather information about Reach Teach Play and other programs as needed for corporate cybergrant proposals and reports.

 

Golf Benefit and Ravinia Events Responsibilities

  • Provide supplemental support to Manager of Golf Outing and Development Events for the golf outing, especially during month leading up to event
  • Provide support as needed or available throughout the summer with pre-event administrative and day-of tasks for internal donor events including Corporate Night Reception, Annual Fund Reception, New Donor Reception, etc…

 

Required for all Development Staff

  • Participate and help as needed at all major functions including Ravinia’s Magic of Music Golf Benefit, Music Matters Benefit, Women’s’ Board Gala and other special events or activities as needed
  • Help as needed with phones for Donor Ticket Request (DTR) activities; includes answering a variety of questions and providing help such as ticket purchases, dining reservations and more
Qualifications

Knowledge and Skills

  • Creative and proactive approach to providing support for a multiple activities
  • Strong writing and communication abilities and interest in elevating these skills.
  • Ability to manage and oversee multiple projects simultaneously while attending to details
  • Ability to work collaboratively and independently
  • Proficient to advanced skills in Word, Google Suite, PowerPoint
  • Aptitude to learn new database and project management systems. Knowledge of monday.com system is a plus.
  • Demonstrated ability to juggle multiple priorities and shift gears while remaining cheerful
  • Creative thinking, analytical and problem-solving skills
  • Aptitude to prioritize workload and pivot as needed
  • A strong interest in collaboration, interpersonal skills, and professional growth
  • Ability to work extended hours and weekends during the summer season is required

 

Education and Experience

  • Bachelors degree in related field or equivalent experience
  • A minimum of three years’ experience in development at a cultural institution or related nonprofit.

Additional Information

Salary Range: $45,000-$50,000
