Position Summary:

The Corporate Event Coordinator is responsible for ensuring the successful execution of events hosted by Akridge clients at the prominent Penthouse amenity space located in our 1700 Pennsylvania Avenue building. This role reports into our property management team and requires regular interaction with Akridge’s employees, clients, and vendors. The Corporate Event Coordinator will work with clients through the full scope of the event planning process, including food & beverage service, audio-visual requirements, furniture and equipment rental and configuration, transportation, security, and other event attendee services. This role is also responsible for managing the building’s master event calendar to ensure efficient scheduling and coordination of all client events. The Corporate Event Coordinator serves as the property’s primary point of contact for high-profile client events, and as such requires exceptional communication skills, sound judgment, and adherence to guidelines and industry best practices to ensure events are delivered to exceed client expectations.

Position Reponsibilities:

  • Assist in the preparation and planning of all events scheduled for the Penthouse amenity space.
  • Maintain master event schedule for Penthouse amenity space and coordinate as necessary to ensure quality facilities are provided and events are coordinated with one another.
  • Schedule all Penthouse amenity space events in accordance with the priorities established by 1700 Pennsylvania Avenue building, and ensure compliance with Penthouse amenity space policies and procedures.
  • Coordinate all services provided by outside vendors with vendors directly and/or with client Event Coordinators, in support of events held in the Penthouse amenity space to ensure no preventable conflicts are encountered by service providers or users.
  • Arrange setup of the Penthouse amenity space before events and the break down, removal, and storage of equipment, and cleaning of the space after events.
  • Ensure proper scheduling of porters and building services staff as required for events.
  • Coordinate pickup and delivery of equipment and supplies for events held at the Penthouse amenity space.
  • Ensure license agreements and insurance requirements are in order and sent to appropriate parties.
  • Draft monthly summary of events held at the Penthouse amenity space for inclusion in the ownership investor report.
  • Enforce and ensure that billing and collections are done in a timely manner, including tracking and billing supplemental expenses, such as additional porter and/or building services staff costs, or any other incurred, miscellaneous costs.
  • Prepare and submit annual budget recommendations for consideration to the Property Manager in relation to the operation of the Penthouse amenity space.
  • Coordinate maintenance and track inventory of all equipment and supplies owned by Akridge for the Penthouse amenity space and repair or replace as needed.
  • Serve as liaison between property management, building services, and building clients in relation to the coordination of events.
  • Maintain event documentation in digital format.
  • Provide oversight of porter staff to ensure successful completion of events.
  • Attend periodic event-related meetings, such as catering/vendor walkthroughs, A/V meetings, etc.
  • Perform quality control checks of room setups for client events to ensure customer satisfaction.
  • Coordinate occupancy comfort issues with building services staff, such as temperature adjustments and other mechanical/electrical requirements, plumbing requests, etc.
  • Coordinate parking needs between clients and garage operations for event, as needed
  • Ensure all specialty requests are pre-approved by the appropriate property management team member
  • Other duties as assigned

Position Qualifications:

  • Minimum 2 years’ experience in event management, preferably in the hospitality or Corporate Event planning space
  • Four-year college degree, or equivalent applicable professional experience
  • Flexibility to work at events held in the evenings and on weekends
  • Ability to work independently and in a collaborative team environment
  • High level of attention to detail
  • Positive attitude and strong sense of urgency in resolving issues as they arise
  • May need to be physically able to lift up to lift 30 lbs
  • Ability to comprehend and interpret instructions, short correspondence, and customer requests and ask clarifying questions to ensure understanding. Ability to respond to common inquiries from clients, co-workers, and/or supervisor. Ability to effectively present information to an internal department and/or large groups of individuals.
  • Strong organization skills and ability to manage coordination of multiple events simultaneously
  • Proficiency in Microsoft Office Suite
