Position Title: Copy Editor and Project Manager                                 
Full-Time, Exempt               

 
Reports to: Chief Curatorial Operations & Research Officer
Department: Curatorial, Creative Services
Updated: October 5, 2023
The Copy Editor and Project Manager is responsible for ensuring the grammatical accuracy for a wide variety of written cross-department texts and content for the Museum’s publications, print materials, and digital platforms. The role reports to the Chief Curatorial Operations & Research Officer (CCOR) and works closely with the Director of Creative Services (DoCS) and the Director of Communications (DoC). This position’s primary roles are to (a) review and proofread all external and internal materials written by Norton content creators and correct errors in grammar, punctuation, consistency, and logical flow, resulting in clearly written and crisply edited texts that follow the Museum’s style rules and institutional voice; and (b) help create, manage, and enforce project timelines alongside support staff utilizing Monday.com. The Copy Editor and Project Manager builds and sustains close working relationships with departments to deeply understand and stay current with goals and needs for all projects. This role is essential in furthering the Museum’s mission of interpreting and sharing information about its Collection, exhibitions.

Copy Editing
Essential Duties and Responsibilities
Serves as the primary Copy Editor and proofreader on all collateral material (external and internal) produced for the Norton. 
Responsibilities include: 
  • Copyedit all draft texts across departments, ensuring adherence to the Norton’s Style Guide, for any external and internal communication needs; for designed materials, mark proofs and comps for accuracy, grammar, punctuation, spelling, and typesetting. 
  • Serve as lead Project Manager for updating the Norton’s Style Guide, and re-visit annually to ensure the document is up-to-date and relevant as the Museum’s needs change.
  • Maintains a high institutional standard for the Norton’s written communications, ensuring they are engaging, clear, and accurate and that all internal and external written language reflects the Norton’s institutional voice/style. Additionally, this role ensures all texts are accessible and are aligned with the Norton’s IDEA (Inclusion, Diversity, Equity, and Accessibility) Plan. 
  • When needed, make recommendations for improving quality of copy to maintain consistent voice and support the institutional and interpretive goals of those written materials. Ensure appropriate reading level and language usage for a variety of audiences. 
  • When texts are finalized, coordinate with the Norton’s external translator to continue museum-wide efforts for bilingual texts. At current, the Exhibition texts and Collection-based texts are all offered in Spanish, but additional translation coordination will also be necessary in the future. 
 
Project Management
Serves as the primary Project Manager on all collateral material (external and internal) produced for the Norton.
Responsibilities include: 
  • Develop, maintain, administer, and enforce workflow and deadline schedules for Museum materials via Monday.com. 
  • Working closely with the CCOR, DoCR, and DoC, craft policies and procedures related to the development of Museum content and provide cross-department training following the finalization of those procedures. 
  • Aid in managing cross-departmental projects from concept to completion.
  • Ensure essential information is communicated consistently and in a timely manner with key partners.
  • Other duties as assigned by manager.
 
Qualifications
  • Bachelor’s degree in English literature, creative writing, art history, journalism, communications, or strong equivalent experience. 
  • Some knowledge of the process of exhibition development and installation is a plus.
  • Ability to quickly distill and succinctly convey relevant points of information from a variety or resources.
  • Expert copyediting, proofreading, and written communication skills
  • Expert verbal communication skills, and the ability to interact effectively and diplomatically with a variety of people in and outside the Museum.
  • Proven experience in project coordination and/or project management.
  • Two - three years of experience in writing, researching, and editing in a journalism or arts environment preferred.
  • Expert knowledge and application of the Association of Art Editors Style Guide, MLA Style, and AP Style.
  • Expert knowledge of and proficiency in Monday.com project management platform (or similar platform). 
  • Strong time management skills; Ability to set priorities, standard operating procedures, anticipate demands, and coordinate stringent deadlines.
  • Bilingual preferred; many texts are translated to Spanish
  • Knowledge of MS Office.
