The Coordinator, Premium Hospitality & Guest Experience is responsible for a variety of duties necessary to plan and execute the NASCAR Chicago Street Race (CSR) weekend, scheduled for July 6-7, 2024, and subsequent race weekends in 2025 and beyond. The person who fills this role is naturally creative with an eye for turning ordinary spaces and everyday experiences into extraordinary events and memorable moments.

Essential Duties and Responsibility

  • Work closely with event production partner on all aspects of the Premium Hospitality experience from pre-planning, determining resource needs, pre-event communication, programming, and on-site coordination/setup/staffing, to post event follow up;
  • Manage display layouts, packets & event coordination, in conjunction with the event production partner and internal stakeholders including operations, partnerships & central event experience team;
  • Assist with the development and execution of event signage, including guest-related informational signage, as well as partner signage in coordination with production partner and internal teams;
  • Develop, maintain and distribute comprehensive event weekend fan and Event Experience team schedules, including driver appearances, entertainment, displays/vendors, on-track activities, etc.
  • Support the event production team with a comprehensive Guest Services program, including volunteer group coordination, scheduling, training and resolving guest complaints or issues. Provide superior care and service to internal and external customers; 
  • Assist the Director, Event Experience, with the ideation, planning and execution of the programming strategy for all added-value and revenue-based guest programming and content efforts, in conjunction with event production partner. Programming includes fan zones, live entertainment, interactive displays, youth activities, photo elements, display areas, public address system and on-site technology;
  • Build strong working relationships and encourage collaboration with all departments, especially the central event experience team, and key external stakeholders to ensure the successful delivery of the guest experience during all events;
  • Other duties as assigned

Qualifications

  • 4 Year College degree, preferably in related business field, i.e. hospitality management
  • Live event planning experience or relevant project management experience tied to hospitality or customer experiences/experiential marketing is a plus.
  • Highly organized, self-starter who is driven to work cross-departmentally to produce next-level, curated, experiences and events.
  • A proven problem solver who can anticipate obstacles and source solutions quickly.
  • Natural curiosity for customer experience, innovative business trends, and consumer habits.
  • Natural creativity with an appetite for integrating originality and imagination into projects.
  • Ability to balance and prioritize multiple projects at one time.
  • Strong written and verbal communication with comfortability in leading planning and status meetings with department leaders.
  • True team player and collaborator
  • Must be able to work extended hours and event weekends
  • Valid driver’s license

While performing the duties of this Job, the employee is regularly required to stand; walk extended distances; use hands to handle, or feel; reach with hands and arms, talk or hear. The employee is frequently required to sit; climb or balance and stoop, kneel, crouch, or crawl. Specific vision abilities required by this job include ability to see long distances in great detail.
