Job Summary
The Coordinator, Internal Events is responsible for supporting the execution of Internal Events hosted at PNC Park venues, coordinating across multiple departments, and maintaining internal client relations.
Responsibilities:
  1. Facilitate and organize requests from Pittsburgh Pirates Departments to host Internal Events at PNC Park, including but not limited to: Staff meetings, trainings, and celebrations, Pirates Charities events and field clinics, Ticket Sales and recruitment events, Executive meetings and receptions, and more non-game related events.
  2. Act as a liaison between various departments, catering services, and operations team during event planning process.
  3. Serve as onsite point of contact on the date of the event for operations, caterers, clients, and vendors, ensuring effective communication.
  4. Execute the set-up and breakdown of required event materials including audio/visual equipment.
  5. Assist with the creation of floor plans, event reports, and invoices.
  6. Maintain the inventory log and submit work orders for equipment and supplies.
  7. Maintain and update the organization-wide calendar of events.
  8. Establish and maintain relationships with external vendors, suppliers, and artists for event rentals and services.
  9. Assist with event-specific budget tracking and inter-departmental invoice distribution.
  10. Gather feedback and data on events, evaluating their successes and areas for improvement with hosting departments.
  11. Support the execution of external events, such as field events, weddings, ceremonies, and larger ballpark experiences as needed.
  12. Other duties as assigned by department leadership.

Position Requirements
Required:
  1. Bachelor's degree in Marketing, Communications, Management or Event Planning.
  2. Minimum one (1) year of event planning experience.
  3. Proficiency in Microsoft Office Applications (Word, Excel, Outlook, PowerPoint).

Desired:
  1. Experience with event planning.
  2. Experience with inter-departmental leadership relations.
  3. Experience with booking software and CAD programs.
