Job description

Shenandoah University's Office of Admissions is accepting applications for a Coordinator of Admissions CRM. This is a full-time benefited position located on our main campus in Winchester, Virginia.

General Description and Responsibilities:

The Coordinator for Admissions CRM attracts and recruits prospective freshmen, transfer, graduate, international, and visiting students, throughout the recruitment cycle, through the development and execution of our multi-channel Admissions CRM (Customer Relationship Management) platforms. The coordinator must provide high-quality service to prospective students and families throughout the prospect, recruitment, admissions and enrollment processes.

Information systems that will be employed by the coordinator include, but are not limited to, university databases and Admissions CRMs, Mac/Apple products, and Microsoft suite. The coordinator will implement and execute initiatives, programs and projects, working with the Manager of Admissions CRM. The coordinator is expected to embrace a media and information technology role within the department by supporting the full Admissions team in this area.

CRM execution includes the technical distribution of all communications tracks in the communications flows. Creating, editing and updating relevant system processes is essential in maintaining effective recruitment outreach to prospective students and specific, targeted audiences. The coordinator will demonstrate a balance of technical and project management skills. The coordinator works closely with others in an effort to better understand all CRM imports and feeds, and data flowing in and out of CRM program management tools, as well as creating email templates within university branding and verbiage guidelines.

The position demands various skill sets in cross-functional collaboration, good communication, project management, technical system function, and a process-focused aptitude to effectively execute multiple responsibilities and deliverables. Experience in Microsoft Excel is critical to success. The coordinator will build collaborative relationships based on the professional, correct, and timely exchange of information with admissions team members and campus-wide partners.

The coordinator will help distribute and track the comprehensive inventory of print and email recruitment materials developed for dissemination from the CRM communication plans.

The coordinator is expected to be a fully participating member of the Recruitment and Marketing division.

Specific CRM Responsibilities:

  1. Use the Admissions CRM to build, distribute and manage established communication flows, recruitment campaigns and ad hoc campaigns as initiated by the CRM Manager. Work with the team to set audience specifications and targets for recruitment communications. Collaborating in the office's technical team includes building campaigns flows, data structures and targets for various recruitment campaigns. Must be comfortable learning coding and analytical functions within a CRM. Must be adept in implementing Microsoft Excel and meeting quality assurance expectations and schedules.
  2. Maintain competencies and understand trends in electronic message design and dissemination. Daily tasks include CRM query builds, troubleshooting, importing data into the CRM, and use of Microsoft Word and Excel coordination. Execute database functions including list management and data integrity.
  3. Editing, updating, and refreshing previously developed messages in over 500 communication plans. Use knowledge of Admissions trends and Shenandoah's unique programs to ensure that messages are crafted in a manner that keeps SU competitive in recruitment.
  4. Understand the importance of effective communications and be eager to fully understand the admissions cycle as well as best marketing practices in higher education.
  5. Implementing professionally crafted, competitive quality content for bulk emails designed specifically for timely messages to target graduate, transfer, and freshmen prospective students and families at strategic points along the recruitment cycle.
  6. Track and measure the success of email and print communication outreach, report findings and identify measures to address non-successful efforts. Continuously improve the communication strategies through monitoring data on open rates, click-thru rates, responses and other key performance indicators.
  7. Track inventory of Admissions print publications and distribute bulk mailings.
  8. Implement timely content that addresses emerging needs during the recruitment cycle as identified by Admissions administration.
  9. Preparing and implementing Admissions Chat function on the website and maintaining on-going functionality.
  10. Preparing and maintaining calendars and schedules for recruitment texting campaigns within communication plans across freshmen, transfer and graduate recruitment timelines.
  11. Identifying and implementing additional opportunities for the use of technology in supporting recruitment and enrollment.
  12. Develop expertise about the Shenandoah University environment, programs, activities, and brand.
  13. Maintain up-to-date knowledge and understanding of Admissions trends nation-wide, the needs of the targeted populations, the concerns that affect students' college-going decisions, and the institutions against which Shenandoah competes for students. Employing on-going research to become a content expert, use that knowledge in crafting concise, impactful messages.

Additional Responsibilities: (10%)

  1. Recruiting prospective students, working with students, families, and high school and college counselors, at the inquiry, application, acceptance, and deposit stages of the enrollment process in order to meet enrollment targets. This includes working independently and as part of the admissions and enrollment teams.
  2. Implementing recruitment strategies and initiating, planning, and executing special projects in conjunction with enrollment goals and objectives.
  3. Participating in on-campus recruitment events that occur throughout the year. Some evening and weekend events are required.
  4. Enthusiastically and professionally representing the university at off-campus events, as needed. This could include conferences, trainings, in-state and out-of-state travel, which includes overnight stays. Adhering to university policies and procedures regarding travel is required.
