Job description

Job Summary:

RFP Specialist oversees the development of proposals, bids, quotations, RFP responses or other documents describing organization products and services in response to requests from prospective clients. Also, oversees National and State price list inclusion of the company for all states in which the company is doing business. Will obtain approvals and maintain the current approval status. A National and State tracking tool will be developed and maintained for Marketing and Sales.

Duties/Responsibilities

  • Manages and meets proposal deadlines by establishing project priorities and due dates for the proposals.
  • RFP specialists will search and uncover whitespace RFP opportunities and meet a quota for qualified RFPs for STS to respond to.
  • Ensures the company is included in all National and State price lists that are part of the company's annual marketing and sales plan.
  • Obtains critical data and assumptions to ensure that company margin requirements are met and approved for each RFP submitted and will utilize the company margin calculator.
  • Collaborates and coordinates with internal contributors and subject matter experts (“SME”) to ensure the contract is complete, accurate, and maximizes business opportunities.
  • Develops and establishes a repository of templates, standard language, product collateral, exhibits, and other data resources to create high-quality and accurate responses.
  • Additionally, the RFP Specialist will establish a tracking system with win-loss information utilizing SalesForce as a tool to compile the analytical information.
  • Reviews and analyzes RFP losses to recommend enhancements to products or processes.
  • Coordinates with members of the sales team to ensure that proposals are presented effectively
  • Coordinates with other members of the RFP team to contribute to and review quotes, proposals, and responses before they are submitted.
  • Follow up with clients after proposals are delivered to ensure that the client has received and approved them.
  • Coordinates with vendors and other outside parties to ensure all materials or information needed, including quotes, are obtained to support our RFP responses.
  • Coordinates with the client throughout the proposal process to ensure that all the client’s needs are met
  • Additionally, this position will manage the Company’s National Purchasing Cooperatives, such as CMAS, TIPS, PEPPM, and other price books.
  • Identify other governmental bidding mechanisms and assess whether the Company should apply for and engage in the quoting process.
  • This person will not be responsible for drafting SOWs (scopes of work); our PMO team will handle this.

Required Skills/Abilities:

  • Excellent verbal and written communication skills.
  • Strong writing skills with the ability to effectively promote the company and the products/services in the proposal
  • Proficient in Microsoft Office Suite or related software.
  • Proficient with PowerPoint and Adobe graphics applications
  • Capable of resolving escalated issues arising from the coordination with the other departments and SMEs to create successful RFPs and Bids by proscribed deadlines.

Education and Experience:

  • Bachelor’s degree in business-related degree, preferably business management or marketing.
  • At least three years of experience in managing contracts and submitting RFP responses.

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 25 pounds at a time.
  • Must be able to travel to offsite assignments, customer site walk-throughs, or customer meetings.
  • Minimal travel required – up to 25%

Job Type: Full-time

Pay: $70,000.00 - $85,000.00 per year
