Job Description
The Contract/Compliance Administrator will be responsible for analyzing and processing contracts from the day it is received through full execution, while maintaining company compliance through the life of the project. The Contract/Compliance Administrator is responsible for obtaining accurate and concise information from internal and external parties. Review contracts to ensure the company is following policies, compliance within legal requirements, owner specifications, and government regulations (General Contractor requirements & Prevailing Wage) while reporting to the Director of Accounting and working closely with the Director of Sales Operations.
The Contract/Compliance Administrator will be primarily involved with performing the following duties and responsibilities:
- Assist Sales Operations with reviewing contract terms for all contracts to ensure the company meets the owners/general contractors requirements
- Review exhibits to determine if owner contract provisions need to be incorporated into subcontracts (i.e., prevailing wage, background checks, etc.)
- Electronically file executed contracts, accurate insurance certificates and required compliance documents
- Responsible for the setup of new projects in our CRM and coordination of project requirements for subcontractors consistent with the prime contract
- Review subcontractor compliance documents to ensure they comply with project specific requirements in the prime contract
- Prepare and maintain correspondence with subcontractors regarding compliance documentation throughout the life of a project
- Track outstanding contracts and compliance documents and notify appropriate individual(s) of delinquent documents and track documents through the office and back out to the general contractors once fully executed
- Coordinate requests from owners for proof of liability insurance
- Collect insurance certificates from subcontractors, review for completeness and compliance, and provide to Accounts Payable.
Requirements:
- Minimum of 2 year of administrative work
- Experience with prevailing wages
- General Contractor experience preferred
- Proficiency with Windows and general computer software
- Able to communicate effectively with supervisors and peers
- Clean criminal record
- Willingness and ability to pass an initial drug test, and to submit to ongoing random drug testing, per company policy
- High School Diploma or GED Required.
