Construction Billing Specialist

Essential Duties and Responsibilities:

• Ensure the accuracy and consistency of data flow between Quantify scaffolding software and Vista accounting software.
• Retrieve data from Quantify and enter in Vista.
• Prepare customer invoices based on individual customer requirements.
• Accumulate and organize paperwork to be used as backup to customer invoices.
• Verify accuracy of backup documents, including field work vouchers, to Vista accounting software.
• Submit customer invoices via email, US Postal Service, or entry to customer’s proprietary system.
• Collaborate with fellow employees at Gribbins Specialty Group to obtain and confirm information to ensure accurate billings.
• Communicate with customers to resolve questions and/or billing requirements.
• Update Job and/or Contract Master file with contact information.
• Coordinate with internal and external sources to investigate any invoice discrepancies.
• Create and modify templates used for work vouchers and tracking forms.
• Prepare change order prices for Project Managers.
• Collaborate with the payroll team and assist in payroll processing when needed.
• Answer phones when needed.

Minimum Qualifications:

• Graduation from high school or GED equivalent required.
• At least three years of billing experience for a construction company.
• Fluent in English.
• Excel certification or willingness to achieve.

Preference will be given to the following:

• Associate’s degree
• Experience billing for a contractor.
• Experience billing for maintenance work or for a complicated project.
• Experience using Vista by Viewpoint.
• Fluent in English and Spanish

Necessary Knowledge, Skills, and Abilities:

• Highly adept at using Microsoft 365, especially Excel and Teams.
• Very comfortable with computers and learning new software.
• Receptive to skill development and willing to actively participate in tasks associated with payroll functions.
• Likes to act as an accounting detective to understand the reason behind the numbers.
• Detail oriented and able to handle interruptions.
• Enjoys learning new processes and new software.
• Flourishes with strict deadlines and multiple required processes.
• Able to establish and maintain professional relationships with clients, employees, and supervisors.
• Communicates professionally, cordially, and effectively.
• Can make decisions independently and asks for guidance when appropriate.
• Comfortable sitting for most of the day and viewing information on a computer screen.
