Distinguishing Features of the Class:
Performs highly difficult, complex and responsible secretarial work acting in this capacity for a high level official. Incumbent in this class independently performs these clerical operations and by doing so relieves a supervisor of various administrative details. The work calls for the frequent exercise in independent judgment in giving out information regarding departmental policies, procedures and practices and in conducting office activities. Employee in this class handles the more difficult public contact assignments in performance of duties. Work is performed under general supervision and only when policies have not been determined are instructions received from a supervisor. Does related work as required.
Typical Work Activities:
- Serves as secretary to an administrative official by assisting in maintaining contacts with other units and staff, screening material by others for compliance with policies and procedures;
- Schedules appointments, answers inquires by phone and in person and preparing correspondences in response to inquires;
- Assembles information necessary for reports and memoranda;
- Takes and transcribes dictation on a variety of matters involved with administrative official;
- Keeps various complex records of activities of the agency;
- May take stenographic records of discussion, conferences and meetings;
- May supervise the work of subordinate clerical staff;
- Assigns work, provides guidance while work is in progress and reviews finished work on completion.
Full Performance Knowledge, Skills, Abilities and Personal Characteristics:
- Thorough knowledge of secretarial practices;
- Thorough knowledge of office practices and procedures;
- Demonstrated ability to take and transcribe diction at a high rate of speed;
- Ability to understand and interpret written material;
- Physical condition commensurate with the demands of the position.
Minimum Qualifications:
Graduation from high school and five (5) years of experience in secretarial or clerical work.
Juris. Class: Competitive unless specifically listed as exempt in the Civil Service Rules for Albany County.
