This position is categorized as a part-time, hourly, non-exempt, year-round position. The workload for this position is varied based on the time of the year. Scheduled days within the department vary based on departmental needs. Flexibility on weekends is required. It is essential that the Community Programs Specialist always be friendly, courteous and professional with guests and coworkers in all situations, upholding our standards of guest service, quality, and work ethics. The Community Programs Specialist reports directly to the Community Development Manager.


ESSENTIAL JOB FUNCTIONS/RESPONSIBILITIES:


GUEST SERVICE

o Provides exceptional customer service to retail garden center guests and vendors during business hours, Community Programs, and coordinated events. This includes in-person, on the phone, and over email.

o Upholds standards for a strong company image that invites guests to repeat their business and their community participation throughout the year.


DEPARTMENTAL FUNCTIONS/DUTIES

o Community Outreach

· Develop connections with local schools, non-profits, and other community organizations

· Organize all details of private program inquiries and bookings, from start to finish

· Collaborate with Garden Ambassador regarding private program inquiries and bookings

· Develop fresh seasonal program content with Garden Ambassador & Events Team

· Collaborate with Tagawa Team regarding space allocation, plant usage, and product promos

· Setup and strike event space as needed for private bookings and field trips


o Family & Children’s Programs

· Plan and facilitate seasonal learning programs and field trips for children, local schools, home educators, and special needs clients – both at Tagawa Gardens and in the community

· Collaborate with Events Team to develop educational resources for children, families, and teachers, aligning with Tagawa Gardens’ goal of cultivating the next generation of gardeners

· Source supplies and create kits for children’s learning projects and seasonal crafts


o Public Classes & Events

· Support Events Team in all aspects of public events and weekly programs, as needed

· Support new workshop development and implementation for private and public programs

· Collaborate with Events Team, Social Media Team, and Donations/Fundraisers Specialist to enhance and expand community presence and program effectiveness


o Administrative

· Coordinate inquiries and booking details for private programs, over email and phone

· Create invoices and complete billing/admin paperwork in a timely manner with Front Office

· File paperwork for food vendors, guest artisans, special talent, & guest instructors

· Complete interdepartmental product transfers and/or shrinks for programs and events

· Maintain an accurate master schedule for both public and private programs

· Maintain database of community groups and program contacts

o Marketing

· Work with Events & Social Media Teams to reach new audiences with Community Programs.

· Implement new ways of promoting and marketing private programs throughout the year.

· Contribute relevant ideas to weekly eblast, monthly social media content, and video content.


COMMUNICATION

o All employees treat guests and co-workers with friendliness, respect, and professionalism.

o Relay special guest requests or needs to the appropriate Department Supervisor.


CLEANING AND SAFETY ADHERENCE

o Maintains clean, organized, and safe work environment. Leaves program areas tidy and presentable.

  • Adheres to all safety rules and regulations and understands the Hazardous Communication Program. Must know where SDS/SARA statements for all pesticides are kept and be able to properly read and follow instructions.
  • Knows how to handle a chemical spill properly, as described in the Employee Handbook.
  • Cooperates in performing duties to ensure safety and health of oneself, all team members, & guests.

WORKING CONDITIONS

o Exposure to weather conditions varies and may include inclement weather (rain, snow, heat, cold).

o Noise level in the work environment is usually moderate, with concurrent phone calls and conversations.

In addition to the duties & responsibilities identified, there are two major components of every job at Tagawa Gardens that are essential to all positions – TEAMWORK and COMMUNICATION. Requirements:

MINIMUM SKILL REQUIREMENTS/QUALIFICATIONS:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily, as assigned. The requirements listed below are representative of the knowledge, skill, and ability required.

o Must be at least 18 years of age and eligible to work in the United States.

o Must satisfactorily complete a background check to be eligible for this position.

o High School graduate, GED, or equivalent education is required.

o Excellent written and spoken communication, with strong interpersonal skills to represent company.

o Ability to work effectively with multiple departments, maintaining a global view of business priorities.

o Ability to prioritize concurrent deadlines, with excellent administrative and time management skills.

o Ability to work independently with self-initiative, self-motivation, and minimal supervision.

o Proficient in Microsoft Office and Google Suite, with familiarity in project software and social media.

o Maintain a positive, professional work atmosphere while interacting with guests, managers, and co-workers in a respectful, timely manner.


PREFERRED QUALIFICATIONS:

o Three years prior experience in children’s programs and administrative work.

All positions within Tagawa Gardens require assisting other departments during critical times in the peak season to include lifting and carrying of heavy materials throughout the day. This position requires that you can regularly lift and/or move up to 60lbs to waist and carry it 10 ft. with or without reasonable accommodation. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of the job.
