Job description

Teche Action Clinic, A Federally Qualified Health Center, per Section 330 of the Public Health Service Act, is currently seeking qualified applicants for a Community Events Coordinator in Franklin, Louisiana.


JOB SUMMARY
:

The Community Events Coordinator (CEC) for Teche Action Clinic (TAC) is responsible for managing the Community Events and Outreach Department, including the Outreach and Events Specialists. This position is responsible for coordinating and managing all community and outreach events sponsored by TAC throughout TAC’s service area. This position collaborates with the other organizational stakeholders on marketing efforts within the community, manages communication between the public and the organization for purposes of community collaboration and will serve as one of the public faces of the organization, plan training and meetings, provide information, and answer questions for the media. In addition, the CEC will complete assigned tasks as needed for all program/projects managed by the Chief Legal Officer, Chief Operations Officer and/or the Chief Executive Officer.


JOB DUTIES AND RESPONSIBILITIES
:

  • Create, implement, and maintain a community outreach plan extending to the communities served by TAC in order to provide education on services offered and health related topics.
  • Organize, facilitate, and attend a variety of major and minor special events, projects and meetings, for both internal and external audiences.
  • Create project scope and work with the marketing team to develop plans with assigned roles, action steps, and deadlines.
  • Ensure Outreach and Events Specialists complete all required and applicable federal and or state consumer assistance, eligibility, and enrollment rules and procedure trainings and testing.
  • Ensure that Outreach and Events Specialists work with other internal stakeholders, including Community Health Workers to conduct and track follow-up calls to consumers
  • Track success of Outreach and Event Specialists assistance in scheduling patients in E-Clinical works (ECW) who express an interest in scheduling an appointment with a TAC provider at community outreach in initiatives and/or Community Events.
  • Review and submit monthly reports prepared by Outreach and Events Specialists that are required to monitor and track Community Outreach impact, including the Senior Health Insurance Information Program report for submission to the Office of Consumer Advocacy & Diversity.
  • Coordinate with external vendors and community partners to secure support for TAC sponsored outreach events.
  • Respond to community inquires for TAC sponsorship at Community Events.
  • Work with community collaborators for sponsorship of TAC hosted Community Events.
  • Work with marketing team to promote events across channels, including social media and website.
  • May attend local chamber of commerce, rotary and community organizations for the purpose of increasing presence in the community and serving as a liaison between external stakeholders.
  • Collaborates with internal staff for the purpose of building effective communication, enhancing relationships, and promoting a high quality of customer service to achieve agency goals and objectives.
  • Coordinates and delivers presentations to new hires and staff surrounding the organization’s history, mission and services.
  • Develops and/or coordinates various agency events such as health fairs, proclamation signings, local festival events and TAC’s events.
  • Collects success stories and testimonials of satisfied patients via video, written, or radio sound bites to advertise services.
  • Provides community awareness of monthly health awareness campaigns via display tables and social media posts.
  • Assists with social media and website management.
  • Utilizes social media outlets to provide education to the community on upcoming events and health related topics.
  • Assist in the design and distribution of TAC collateral to targeted partners and potential patients.
  • Coordinate with various vendors and external partners in the marketing of TAC’s services and providers.
  • May occasionally work non-traditional hours based on operational or community needs.
  • Provide post-event reports on the success and ROI of each event, including opportunities to improve to maximize ROI.
  • Research, plan and execute community outreach/volunteer opportunities throughout TAC’s service area.
  • Assist with other internal projects and job-related duties as assigned.

QUALIFICATIONS:

Education/Experience:

  • Minimum High School Graduate
  • 5 years public relations/marketing experience in a healthcare setting is preferred.
  • Knowledge, understanding, and sensitivity to multicultural groups, encompassing their socio-economic backgrounds
  • Licensure or ability to obtain licensure when background credentials warrant

Communication Ability:

  • Excellent communication skills at level necessary for understanding and relaying instructions to participants and for accurately documenting information
  • Ability to deal tactfully with personnel, patients, family members, visitors, government agencies/personnel and the general public

Math Ability:

  • Basic math skills

Reasoning Ability

  • Skill in exercising a high degree of initiative, judgment, discretion, and decision-making to achieve organizational objectives
  • Skill in analyzing situations accurately and taking effective action. Skill in exercising judgment and discretion in developing, applying, interpreting, and coordinating clinic policies and procedures

Computer Skills:

  • Intermediate proficiency in the use of Microsoft Word, Excel, Outlook, PowerPoint and the Internet
  • Education/training or work experience in computer basics and data entry a must
  • Skill in utilizing computers, data entry, output, etc. in generating reports
  • Ability to utilize the EHR/PM systems

Professional Skills:

  • Knowledge of principles and practices of health care planning and management sufficient to manage, direct and coordinate the operation of a health care organization
  • Knowledge of the purposes, organization and policies of the community’s health systems sufficient to interact with other health care providers. Skill in establishing and maintaining effective working relationships with employees, policy-making bodies, third-party payers, patients, and the public
  • Possess exceptional time management and adaptability skills
  • Skill in organizing work, and achieving goals and objectives
  • Ability to multi-task and work effectively in a high-stress and fast-moving environment

Work Location and Physical Requirements

  • Primary work location is the main clinic in Franklin, LA. Travel is required between the parishes in which TAC serves. Primary work hours are normal business hours of TAC, with some weekend or after hours events required.

Eligibility Requirements:


  • All employees must meet eligibility standards in order to be considered for the position applying for. Internal applicants must be with be with the organization for at least one year, with no disciplinary actions on file. If you have not been with the organization for a year, approval from your direct supervisor will be needed.


**Due to CMS Mandate all applicants must be fully vaccinated prior to onboarding with TAC with the exception of an approved Medical or Religious Exemption.**
