SUMMARY OF DUTIES

The Communications Assistant is a critical member of the Office of Advancement and will work closely with the Fundraising and Marketing & Awareness teams, other internal departments and programs, as well as donors and vendors.

The Communications Assistant will provide essential support to the Office of Advancement to help meet department and organizational goals. The primary role of the Communications Assistant is to serve as the first point of contact for internal and external inquiries to the Office of Advancement and specifically the Communication Department. Other duties include but are not limited to:

  • Performing administrative support duties; coordination of collateral needs for CFS programs (including writing and design in collaboration with Creative Lead and Communications Specialist);
  • Receive, vet, and follow-through on internal and external support of program activities, and speaking and media opportunities
  • Create, edit, and maintain files in SharePoint; prepare check requests & purchasing card statements for communications team leader and members
  • Assist with administrative support for internal and external meetings, including support CFS programs and employee communications; and communications expense reconciliation.
  • Assist with tracking social media engagement, monitoring and ROI/highlights from marketing and communication efforts
  • Assist in developing internal and external presentations, including Board presentations
  • Utilize a personal vehicle to run work-related errands; and provide back-up support in terms of calendar scheduling, maintenance and reminders.

A successful candidate will be well-organized, able to communicate effectively with different types of people, balance multiple priorities, and work well under pressure. Consistent and reliable attendance is required.


EDUCATION AND TRAINING REQUIREMENTS

  • High school, plus additional courses or specialized training at business or community college, or other formal training facility or program. Requires ability to understand and carry out assigned duties effectively. Knowledge needed such as stenography, office routines, elementary accounting procedures; operation of equipment such as bookkeeping and billing machines, tabulating equipment, transcription machines.

EXPERIENCE

  • Over two years, up to and including four years.

SPECIAL KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED

  • Type at least 35 WPM; 10-key by touch preferred
  • Comfortable using a Windows 10 based computer
  • Experienced in using the Microsoft Office Suite 2007 or newer versions, particularly Word, Excel, and Outlook
  • Able to successfully set up and complete merges from Excel into Word documents (labels, letters, envelopes)
  • Working knowledge of Indesign; Photoshop; Canva; or other graphic design platform
  • Excellent writing and editing skills.
  • Work independently and as part of a team
  • Active listening skills including giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate
  • Ability to communicate verbally and in writing to others to convey information effectively
  • Ability to use critical thinking skills such as logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems
  • Detail-oriented with thorough follow-through

OTHER POSITION REQUIREMENTS

  • This job requires a valid Hawaii driver's license, a clear driver's abstract, and willingness to travel in personal vehicle on an as-needed basis throughout the island.
  • This position is subject to a criminal background investigation and continued employment is contingent on a record clear of convictions.
  • Requires contacts both inside and outside the organization to furnish or obtain information and/or provide participant services. Normal courtesy, tact, and discretion required.
