The Communications and Events Specialist will coordinate day-to-day communications for internal and external-facing audiences and provide full-cycle event management to strengthen broad-based engagement with the mission and goals of the School of Interdisciplinary Arts & Sciences and the University of Washington Bothell.
The Communications and Events Specialist will develop relationships with support units at the University of Washington Bothell to promote School of IAS news, information, AND EVENTS of varying scale and complexity including, but not limited to, public lectures, conferences, colloquia, performances, and student, alumni, and donor engagement and recognition opportunities. The position is also responsible for the preparation, production, and distribution of digital and print materials that promote opportunities for student engagement and enrollment growth in IAS academic programs and courses.
External Communications:

  • Under the general supervision of IAS leadership, manage and maintain content for the School of IAS website.
  • Serve as primary publisher for the unit.
  • Write content and coordinate the dissemination of IAS news on blog posts and other departmental media outlets.
  • Monitor campus news and announcements for promotion and outreach opportunities
  • Coordinate with the Director of Academic Services and other campus partners to provide student-facing accessible digital and print communicationsincluding the advertising of IAS courses, program changes, and degree requirements.
  • In partnership with the Assistant Director for Communications and Outreach, create, edit, and adapt informational materials to reflect IAS programs and services across various media formats including newsletters, promotional display materials, web-based and email communications, presentation slides, scripts, videos, graphics, website content, social media content, etc.
  • Support graduate and undergraduate student recruitment communications through Slate and other web-based platforms.
  • Utilize University of Washington's Advancement's ADVANCE and Marketo management systems to effectively manage IAS outreach and recruitment efforts.
  • Ensure appropriate use of UW branding and communication style guides.
  • Maintain and ensure accessibility standards and best standards outlined by UW, federal, and state level policies.
  • Create, edit, and disseminate mass emails to campus community audiences.
  • Help elevate content for placement in publications to external audiences such as the UW Bothell website and campus newsletters.
  • Respond to inquiries received by prospective applicants and others. Enter and track contact lists and related data.
    Internal Communications:
  • Engage proactively with faculty and staff to obtain information and leads on content creation to support website updates and improvements.
  • Under the general supervision of IAS leadership, oversee and manage updates to IAS SharePoint Sites for both faculty and staff.
  • Act as the Primary Staff Administrator for 25+ listservs and Alternative Staff Administrator for 9 listservs through the UW MailMan application.
  • Responsibilities include updating member subscriptions, member removals, and filtering through approval requests.
  • Support the provisioning of shared IAS NetIds.
  • Respond to general inquiries received by faculty and staff.
    Event and Administrative Support:
  • Work closely and directly with the Director of Academic Services to develop and support educational and community-building opportunities for IAS students, prospective applicants, faculty, and campus partners.
  • Collaborate with IAS teams and programs to provide planning and staffing support for virtual and in-person activities including recruitment events, student conferences and workshops, and faculty events.
  • Support the Assistant to the Dean with the logistics and set up of all-school meetings and retreats, school events, and special ad-hoc meetings.
  • Provide support with event logistics and general office requests as needed such as catering, parking passes, event set-up and breakdown, hospitality, room reservations, supply orders, media support, and activity permits.
  • Manage IAS calendar events through online platforms such as Trumba, Slate, and Navigate.
  • Serve on campus-wide committees and attend meetings as appropriate.
  • Participate in IAS strategic planning activities.
  • Provide leadership in creating an office environment that is welcoming to all UW Bothell students, staff, faculty, and visitors.
  • Other duties as assigned.
    MINIMUM REQUIREMENTS:
  • Bachelor's degree in communications, Marketing, Journalism, English, Education, Social Science, Business, or related field and minimum of 1 year of directly related work experience.
    ADDITIONAL REQUIREMENTS:
  • Excellent written and verbal communication skills.
  • Strong project management and problem-solving skills, including the ability to adapt to shifting priorities and deadlines in a fast-paced environment.
  • Strong interpersonal skills and experience with planning and implementing events for different groups and audiences.
  • Advanced proficiency in Microsoft Office applications, Teams, SharePoint, and use of the Internet.
  • Experience managing and creating communications material including publications, graphic design, print, web, social media, special events, etc.
  • Demonstrated ability to work on a team and perform a variety of tasks, including administrative ones.
  • Ability to work with a diverse constituency and demonstrated ability to work with diverse staff at all levels of an organization.
  • Ability to work on evenings and weekends as needed.
    Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
    DESIRED QUALIFICATIONS:
  • Proficiency in Adobe Creative Suite.
  • Experience in professional marketing writing and project management, preferably in a higher education or nonprofit setting.
    CONDITIONS OF EMPLOYMENT:
    This position will have office space adjacent to other members of the staff team to perform daily tasks and other regular functions. The office space is outfitted with a computer, desk, chair, and other equipment required for the work. The scheduled hours for this position will align with the office hours held by other IAS staff, typically Mondays through Fridays from 8 AM to 5 PM. This position requires the ability to work occasional evenings and weekends for recruitment, orientation, convocation, or events.
    The employee may request occasional telework arrangements (i.e., up to 2 days remote work per week) as University policy allows.
