SUMMARY OF POSITION: The Group Sales Manager should be a detail-oriented, multi-tasker who is responsible for the inside Group Sales effort and assisting the sales and operations teams to ensure that all pre-, during, and post-event phases of groups & events are executed and communicated appropriately. He or She is responsible for the coordination and smooth running of all aspects and functions related to groups from arrival to departure and acts as the on-property liaison for the group leader. The Group Sales Manager acts as a support person to the Director of Sales in planning & coordinating group & event bookings. This position is for someone who is dedicated to providing exceptional service to our clients of today and for the guests of the future.
RESPONSIBILITIES:
- Responsible for obtaining all relevant information for upcoming groups promptly.
- Responsible for attending all sales meetings, staff meetings, and for communicating accurate group & function/meetings needs to management staff every week.
- Responsible for communicating any changes, additions, cancellations to the sales, and operations teams
- Responsible for overseeing the correct setup in event/ banquet spaces and/or preparations have been made with the Catering team or Operations team for a seamless event.
- Maintain complete knowledge of daily scheduled group functions, times, locations, amount of people, and specified requirements.
- Knowledge and location of all hotel function spaces and names of rooms and spaces.
- Knowledge of meeting and banquet room styles and set-ups.
- Maintain complete knowledge of client's requirements. I.e. Nature of Event. VIPs and On-Site Contact.
- Coordinate arrival needs, event needs, and oversee event functions with the assistance of the events coordinator and F&B team if necessary.
- Promote positive guest relations at all times. Work with all departments communicating and servicing groups before and while groups are in-house.
- Be familiar with all hotel services/features and local attractions/activities to respond accurately to any guest inquiry.
- Provide a comprehensive business partnership with our customers to drive loyalty, increase market share, and focus on customer experience
- Re-solicit all past groups for re-booking opportunities
- Both reactive and proactive sales efforts to maximize business opportunities and revenue
- Participate in community events, associations, and organizations to promote our company’s community presents as directed by DOS
- Participate in assigned corporate and brand sales training as directed by DOS
- Maintain complete knowledge of and comply with all departmental policies, service procedures, and standards.
- Ensure that standards are maintained at a superior level daily
- Ensure that all Function entries in STS are accurate with the Sales Clerical Admin
- Keep accurate records and documentation in STS including setting up a file trace system for each group booking that documents conversations with Guest as well as sets reminders to collect relevant info needed for the group. (I.e. rooming list, meal choices, diagrams, arrival times, etc.)
- Maintain meeting and banquet space in an orderly and guest-ready environment at all times.
- Complete all other necessary daily tasks as assigned by DOS or GM
- Regular Sales Office phone coverage
- Reports to Director of Sales
QUALIFICATIONS:
- Previous hotel experience; preferred
- Minimum High School Diploma,
- Possesses excellent guest service skills
- Excellent written and verbal communication skills
- Track record of effective communication skills amongst team members and different departments; with the ability to effectively deal with guests and associate concerns in a friendly and positive manner at all times.
- Ability to adapt communication style to suit different audiences, such as effectively communicating with clients, supervisors, coworkers, the public, etc.
- Highly organized and efficient; requires minimal oversight
- Strong work ethic; must lead by example
- F&B experience is a plus
- Ability to prepare, audit and understand all hotel banquet event orders, group reports, and agreements
- Strong interest in further hospitality career development with an emphasis on sales and marketing
- Ability to lift 50 lbs.
- Walking, sitting, standing, and bending/reaching for extended periods
- Comply with attendance rules and be available to work regularly
- Perform any other job-related duties as assigned
- The expectation of this position requires a minimum 40-hour work week which may include weekends/evenings (Saturday & Sunday)
