A Brief Overview
Performs a variety of duties in support of assigned department including coordinating clinic schedules, accurately taking and entering of messages into EPIC. Responsible to ensure requests for records are completed, receives and mails correspondence. Schedules appointments accurately through obtaining appropriate demographics and soliciting information necessary to schedule appropriately. Ensures a positive interaction in each patient and family encounter.
Essential Functions
- Act as a focus of communication and resource person for callers/guests/staff requiring information or direction. Maintains the daily provider appointment templates at the direction and approval of the Administrative Supervisor. Answers phone calls in an acceptable amount of time, accurately entering staff message into EPIC. Pulls and processes all fax transmittals as directed and provides outreach fax support as needed. Schedule appointments accurately, registering patients with complete and accurate demographic information according to procedure. Makes appointments from calls. Reschedules and cancels appointments and communicating as needed with patients/families and departments/clinics. Schedules interpretation services as needed for appointments. Demonstrates positive customer service when greeting patients, care providers and others. Providers patient/family service instructions prior to appointment as directed by service department. Providers appointment, directions and parking instructions as needed. Ensures physician orders are linked to appropriate appointment within system. Assist with clinic reminder calls. Ensures recalls are inputted for future patient appointments. Tracks and communicates scheduling concerns to the appropriate individuals. Completes appointment re-scheduling requests according to policy. Requests and distributes patient medical records. Responsible for all outreach reservations including flight, car rentals and hotel. Ensure crash cart checklist is completed daily. Responsible for inputting fetal conference data. Assist nurses with Synagis orders and issues. Assists with IT and clinic equipment issues. Asist nurses with pre-clinic preparation work. Responsible for nurse meeting minutes and reservations. Completes miscellaneous reports and letters as needed. Supports patient care quality initiatives as directed. Set up Webex meetings for cardiology and other departments within the organization. Works with Administrative staff with communicating schedule changes to third party answering service. Assist nurses with pacer check scheduling. Completes outreach expense report submissions in Oracle. Assists in the orientation and training of new employees as requested. Coordinates and manages office supply needs. Provides teleheatlh technical support to families in collaboration with department RNs. Completes visit coordination as requested from clinical team; communicating lab/imaging directions to families (arrival time, way finding, visit preparation).

Education Qualifications
- High School Diploma or GED equivalent Required
Experience Qualifications
- Minimum 1 year of secretarial experience Required
Skills and Abilities
- Skill in typing and usage of Microsoft Word, Excel and PowerPoint.
- Ability to pay close attention to detail.
- Ability to work with minimal supervision.
Licenses and Certifications
- BCLS - Basic Life Support (only required if working in the OR department) Required
