What does a Clinic Operations Supervisor do?

The Clinic Operations Supervisor supports the clinical and administrative teams through collaborative management of Clinic Operations and staff to ensure effective, efficient delivery of high-quality ABA services. The Clinic Operations Supervisor is responsible for all administrative aspects of clinic day-to-day functions. This includes managing multiple levels of staff, new hire training, orientation, clinic tours, enforcing policies & procedures, coordinating clinic staffing changes with scheduling department and bridging communication between leadership, clinic staff and learners.

· Act as the brand ambassador of the Autism 360 clinic, and a liaison between parents, staff, providers and leadership;

· Maintaining a clean, fun and safe environment for staff and learners – developing and disseminating staff cleaning schedule, reporting repairs or maintenance issues, tracking inventory, placing clinic or therapy supply order requests

· Maintaining staff productivity by ensuring consistent assignment of clinic duties to staff during non-clinical hours. Assign administrative tasks or extra trainings for staff whose hours are temporarily decreased due to a patient cancellation. Provide productivity reports to direct supervisor weekly.

· Collaborate with various departments to identify clinic specific hiring needs to ensure consistent staffing for learners. This may include conducting interviews for potential candidates.

· Identifying individual growth and development opportunities to positively impact employee engagement, performance, and retention. Report metrics and employee performance to Leadership

Job Duties:

  • Managing time & attendance in the HRIS system, as well as analyzing reports to ensure adherence to company policies and staffing optimization
  • Assisting with performance management, to include coaching and corrective action as needed
  • Identifying individual growth and development opportunities to positively impact employee engagement, performance, and retention
  • Assist Scheduling Department with managing provider schedules in the EHR system
  • Work with leadership to improve workflows and decrease staff and learner call-outs
  • Monitor applicable dashboards, reports, messages, & work queues in the EHR system as assigned to optimize Clinic Operations
  • Monitoring daily staff documentation and holding staff accountable to ensure timely note submission after each shift and prior to leaving for the day
  • Provide direct feedback to staff and relay any additional feedback to the appropriate leadership/departments
  • Other duties as assigned

What is a typical day in this Position?

A typical day for the Clinic Operations Supervisor involves patient facing and employee engagement tasks to build and promote an efficient and effective clinic culture. Supervising and/or assisting with daily operations of a multispecialty clinic in collaboration with both clinical and administrative departments to ensure staff can deliver effective, efficient, high-quality care that results in an excellent patient experience. Promptly and appropriately respond to questions or concerns from patients, providers, and staff. Assist the team with staff schedules, time & attendance, and performance management. Manage clinical and administrative supply inventory and ensure facilities and equipment are in good working order as well as enforce policies and procedures.

EXPERIENCE & EDUCATION:

· Must be at least 18 years of age

· High school diploma or equivalent required. Associate’s or Bachelor’s degree preferred

· One to three years’ supervisory experience in a medical office setting preferred

· Experience working with children, adolescents, and/or the special needs community preferred but not required.

· Applicant must have a valid driver's license and no criminal record

· Proficiency in Microsoft, Excel, Power Point, Outlook required
