Primary Health Care (PHC) was founded in 1981 by Dr. Bery Engebretsen in Des Moines, IA. Our mission has remained unchanged since that time, to provide healthcare and supportive services to all, regardless of insurance, immigration status, or ability to pay.

Based on the needs of the communities we serve, PHC offers a spectrum of medical and dental services including family practice, behavioral health, HIV care and services, and pharmacy. PHC’s Homeless Support Services is the entry point for serving people experiencing homelessness in Polk County. Enabling services are available to help patients with benefits enrollment, case management, transportation, translation, and patient education. We currently have locations in Ames, Des Moines, & Marshalltown.

As a Clinic Office Specialist II, you will be responsible for providing excellent customer service in PHC medical and dental clinics while delivering quality patient registration, scheduling, and payment handling processes. You will work collaboratively with PHC team members to provide positive service experiences for patients.

• This position will work about 20 hours per week. Schedule may be flexible. Generally hours needed are Wednesday & Thursday 10 AM - 3 PM & Friday 8 AM - 5 PM, but may be asked to fill other shifts during the clinic operational hours: Monday - Thursday 8 AM - 8 PM, Friday 8 AM - 5 PM, & Saturday 9 AM - 1 PM.
• Earn a $5.00 per hour shift differential when you work a 3-hour shift on a Saturday or after 5 PM on a weekday.

What You Will Do

1. Monitors patient schedules in the medical and dental scheduling systems to ensure optimization. Schedules patient appointments for medical and dental clinics, identifying and correcting inaccuracies. Contacts patients due for recalls assisting in filling the schedule. Offers appropriate resources to assist patients in overcoming barriers in making or keeping their appointment (e.g., telehealth, referral to family support workers).
2. Ensures a consistent revenue cycle process in a medical and dental clinics. Completes accurate registration per the medical or dental clinic patient registration workflow. Collects and records patient payments at time of service. Manages assigned cash box per the Front Office Collections Workflow and Money Handling Expectations. Refers patients to Health Benefit Specialists when appropriate. Scans all acquired patient documentation and accurately indexes into electronic health records.
3. Takes actions to create a positive customer experience for internal and external customers. Greets visitors, offering prompt and friendly service to those entering the building, calling on the phone, or through electronic messages in a professional and timely manner to ensure their needs are met. Accurately documents messages and communicates to the appropriate individual. Maintains visitor log. Provides and collects visitor badges.
4. Ensures the reception area and waiting room is clean and tidy. Completes assigned internal and/or external referrals.

Qualifications You Need to Bring

• High school diploma or equivalent.
• A minimum of 2 years in a healthcare environment or 3 years in a customer service role.
• Excellent customer service skills and commitment to service excellence.
• Effective verbal and written communication skills in English & Spanish.
• Good problem-solving skills with ability to apply critical thinking.
• Takes initiative and demonstrates dependability.
• Team oriented with ability to collaborate effectively with others.
• Listening and reading skills with ability to follow written and verbal instructions.
• Basic math skills with ability to count money and making change.
• Basic computer skills with proficiency using Microsoft Office applications, keyboard entry and internet-based applications.

Your experience and skills determine your base pay. The hiring range for this position is typically $15.50 - 19.40 per hour. Candidates with extensive work experience related to this position may be considered for additional compensation up to the pay grade maximum of $23.00 per hour.
