Summary
Leads a competent and efficient Clinic Front Desk team with a focus on efficiency and providing excellent customer service. The Front Desk Lead must excel at the duties required of all receptionists as well as the following:
Essential Job Functions:
Leadership
· Provides daily leadership in all activities of the clinic reception team.
· Plan, prioritize and delegate work tasks to ensure proper functioning of the department.
· Assist with interviewing and hiring potential candidates for open receptionist positions.
· Provide Front Desk training to new Front Desk staff as well as ensuring that new technical staff members have a working knowledge of Front Desk procedures.
· Works with the Clinic Director to create Front Desk staff schedule to ensure adequate coverage to provide maximum efficiency and productivity.
· Meet weekly, or as needed, to update Clinic Director on any issues at Front Desk, including but not limited to, equipment malfunction, client disputes, or staff disciplinary needs.
Customer service
· Ensures good quality customer service is provided by all clinic staff.
· Helps resolve customer disputes with sensitivity, tact, and diplomacy.
· Works with Clinic Director to create effective customer service procedures, policies, and standards to ensure that every interaction with clients is positive.
Office administration
· Maintain and monthly reconciliation of inventory held at Front Desk, such as flea/tick/heartworm medication, e-collars, and microchips.
· Identifies system and workflow improvements to enhance the team's communication and efficiency.
· Monitors inventory of office supply and notifies Clinic Director when needs arise.
· Ensures that medical records are accurate and up to date.
· Coordinate repair and replacement of office equipment.
Volunteers
· Recruit and train volunteers to assist with various aspects of client engagement to include: reminder calls, appointment setting, and other tasks to be determined.
· Engage with volunteers consistently, communicating professionally and respectfully.
