The Client Service Associate is an instrumental role in the office and helps to conduct the smooth operation of a fast paced and friendly financial planning office. This position will assist the financial advisors in the areas of administration, Client Service and financial planning, that do not require licensure or registration. This position will consistently follow high standards of business and professional ethics and legal and regulatory requirements when dealing with others and/or performing work activities.
Primary Responsibilities
Financial Planning:
- Review and update client information as needed for client review meetings
- Prepare final deliverables for upload to the online file manager
- Follow-up with prospects or clients with notes or letters signed by advisor(s)
- Ensure completion of financial plan process with closing of plans and updating/tracking retainers
Client Care
- Set up and maintain client management system
- Schedule client appointments
- Conduct client appointment reminder calls and document check-in calls on follow up items
- Prepare/create all deliverables to clients
- Coordinate and track client appreciation
Office Support
- Prepare daily mail log and deposit checks
- Maintain office inventory and order supplies when needed
- Copy and track all client and practice materials including business correspondence
- Copy and follow-up with home office on related issues
Business Management
- Plan and prioritize own work schedule as well as advisor(s)
- Support and prioritize work for Interns
- Use to-do lists, calendars, computer software or other work/time management systems
- Structure and maintain files in accordance with document retention policies
- Prepare Client Service reports for appointments
- Process invoicing and tracking of financial planning fees
- Perform other duties as assigned by the financial advisor(s)

Qualifications
- Associate's degree or higher
- 2+ years of related experience
- Strong computer skills and knowledge of MS office
