We are in search of a Client Onboarding Specialist!

This specific opening is for a role that is responsible for opening new accounts for clients, processing transfer documents, and completing status calls with other custodians. This individual also works closely with the agent groups outside of the company, clients, internally, and in conjunction with operational responsibilities, all team members take inbound customer calls during blocked call times to ensure our clients receive excellent client service from their first point of contact.  Specialists must be upbeat and enjoy helping both internal and external customers. Client satisfaction is vital to maintaining our company growth and longevity. This individual also needs to have comprehension of company policy and procedures, trust documentation, and fee schedules.   Ideal candidates should love working in fast-paced environments.

What You'll Do
    • Answer calls during scheduled call times
    • Pick up, open, separate, and prioritize mail
    • Sort, scan and log all mail
    • Assign mail to appropriate team members for processing
    • Process LAAF and Power of Attorney documents
    • Update beneficiaries
    • Update contact information
    • Review releasing custodian statement and verify signed transfer documents
    • Create Letter of Acceptance and/or Attestation Letter
    • Obtain custodial signature from approved signer and medallion stamp (if required)
    • Send transfer requests via fedex/email/fax
    • Notate all appropriate systems
    • Upload documentation to internal database
    • Update tracking spreadsheet
    • Notify client of transfer status
    • Follow-up with releasing custodians on status of unfunded transfers
    • Complete new account reviews
    • Review and Verify applications
    • Complete a compliance risk assessment on applicant
    • Follow-up with Client/Agent for missing/incomplete Items
    • Add Client, Beneficiaries, New agent profiles to system
    • Open account in system for all account types
    • Send Welcome Letter to client
    • Upload documentation to internal database
    • Verify whether agent is in good standing
What You'll Need
    • A passion for working with customers and providing excellent customer service
    • Ability to create world-class customer service experiences for all stakeholders
    • A strong preference for and an ability to shine in fast-paced working environments
    • An interest in working with Retirement Accounts (IRA's, 401ks, Self-Directed IRA, Pension)
    • Ability to work well within a team
    • Team and individual goal oriented mindset based on individual and team performance, metrics, and KPIs
    • A keen eye for attention to detail
    • Accuracy in all data entry 
    • Strong time management skills
    • Comfort and experience being in an innovative start-up environment 
    • A willingness to roll-up your sleeves and get work done
    • Excellent written and oral communication skills
