Customer Experience Concierge/Event Planner Role Description


Job Title: Customer Experience Concierge/Event Planner

Reports To:  Director of Operations


Job Purpose:

The Client Experience Concierge position you’ve been hired for is a significant role within our company.  You will perform various client services and events and provide internal office support.  The Client Experience Concierge reports directly to the Director of Operations and will serve as a critical team member and as the initial point of contact for the clients or professional partners of AEGIS Financial via phone or in person.

Principal Accountabilities:

  • Makes the client feel welcome and comfortable in the office; offering favorite drink
  • Gathers personal data from the client to maintain our CRM database to make their experience with AEGIS exceptional.
  • Provide office support, including answering telephones, assisting visitors/clients, resolving and/or referring problems or inquiries to proper personnel.
  • Co-manages calendar and schedules & confirms meetings for clients, prospects, and professional partners.
  • Coordinate and perform a range of staff and/or operational support activities with various departments.
  • Prepares and coordinates documents in preparation for meetings.
  • Coordinate meetings with Professional Partners to develop cooperative relationships to meet clients’ needs.
  • Establish, maintain, and update files, databases, records, and/or other documents.
  • Documents all relevant action items and tasks being tracked in CRM.
  • Executes project-related tasks to contribute to the firm’s development.
  • Operate standard office equipment and use required software applications.
  • Cultivates ideas to develop or help improve office systems and protocols.
  • Participates in internal meetings when necessary.
  • Responsible for running company errands.
  • Assists with any special projects.
  • Go out into the Community and market our lunch and learn campaign.
  • Budget, plan, and implement client events, giving plans, professional development days, seminars, lunch & learn, and marketing campaigns.
  • Work with the Marketing team and Director of Operations/CCO.

 

Knowledge/Experience/Skills:

  • High School Diploma minimum
  • 1-2 years administrative experience desired
  • Event planning experience is desired.
  • MS Excel, Word, Outlook, and PowerPoint proficiency to produce professional documents.
  • CRM Database experience and task management are helpful.
  • Ability to improvise and proactively assist in client requests or firm tasks.
  • High communication skills (written and oral).
  • Excellent organizational skills to prioritize and complete work efficiently.
  • Ability to follow instructions, including a solid adherence to meet deadlines.
  • Ability to work simultaneously on multiple projects.
  • Ability to take detailed notes and follow instructions with little guidance.

Working Conditions:

  • Tasks closely governed by policies and procedures.
  • Flexibility in working hours to attend client events or meetings outside normal business hours.
  • Professional to Business Casual Dress Code


Hours: TBD 20-30 hours

N/A for Part Time position

 

Salary Range$15 -$18/hr depending upon experience.
