Position Summary: As the frontline ambassador for Monroe Medspa, the Client Care Specialist plays a pivotal role in creating an unparalleled experience for our clients. This role involves being the first point of contact, warmly welcoming clients, and efficiently coordinating services across all spa departments. Essential Job Duties:
- Interact with clients and coworkers in a professional, compassionate, and friendly manner, guided by the company’s mission, vision, and values.
- Accurately and efficiently schedule client appointments, considering both client and provider availability.
- Handle incoming calls, voicemails, emails, and texts promptly and proficiently.
- Possess in-depth knowledge of Monroe Medspa’s products and services, including pricing and promotions, providing accurate information to clients.
- Maintain confidentiality and handle sensitive client information discreetly and professionally.
- Collaborate with colleagues to ensure clients receive the highest level of care.
- Address client concerns, offer solutions, and escalate when necessary.
- Assist with morning huddles, ensuring a seamless appointment experience for clients.
- Handle cash transactions, process payments, and balance the drawer daily, including bank deposits.
- Ensure correct promotions/discount codes are input into the client’s file.
- Conduct weekly inventory and report information to the Office Manager.
- Assist in various administrative tasks, including patient check-in/check-out procedures and maintaining office supplies.
- Ensure effective utilization of loyalty programs (Alle, Aspire), including signing up and processing treatments.
- Coordinate facility maintenance duties under the direction of the Office Manager.
Minimum Qualifications:
- Some customer service or sales experience, with a passion for providing high-quality patient care.
- Interest or experience in aesthetics, wellness, and skincare is a plus.
- Exceptional approach to client service, focusing on communication, timely solutions, and client needs.
- Ability to act with integrity, proactively address client needs, continuously improve service, and collaborate with the entire team.
- Ability to work independently and as part of a team.
- Organized and detail-oriented.
- Strong verbal and written communication skills.
Working Conditions (includes physical demands):
- Prolonged periods in a stationary position (up to 50% of the time).
- Occasional movement within the office to access equipment.
- Use hands/fingers to operate computers and office machinery.
- May need to stoop, kneel, or lift boxes weighing up to twenty pounds.
- Effective communication of information and ideas to others.
