About This Position

HopeHealth is seeking an experienced Chief Clinical Officer (CCO) Administrative Assistant for it's affiliate HopeHealth Hospice & Palliative Care in Providence, RI.

The CCO Administrative Assistant position is responsible for providing administrative/secretarial support to the Chief Clinical Officer (CCO), the hospice and home health teams. The Administrative Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Office of the Chief Clinical Officer. This individual will be responsible for administrative functions, including but not limited to answering phones, coordinating schedules, developing and running reports, analyzing data, making travel arrangements and other projects and tasks as assigned; support scheduling and Hospice Service Coordinator positions as needed.

This is a part-time, 32hrs per week, position that is eligible for benefits. The hours are 8:00am-4:30pm



What will you do?

    • Coordinates the day-to-day administrative functions for the Chief Clinical Officer.
    • Effectively handle patient care related activities and communications with a high degree of professionalism, accuracy, and confidentiality
    • Works collaboratively and in close coordination with members of the administrative and leadership teams of HopeHealth affiliates
    • With little supervision, acts as first line of communication for all incoming calls, correspondence and visitors, takes necessary information and directs inquires to other staff as needed with necessary backup information as may be required
    • Ensures adequate preparation for meetings and other engagements
    • Attends meetings as required which may at times occur outside of regular business hours. Included in this responsibility is recording, transcribing and distributing minutes
    • Handles travel arrangements for the CCO.
    • Answers questions and meeting requests directed to the CCO; maintains a busy calendar of internal and external meetings and activities.
    • Prepares confidential correspondences, meeting materials and reports; performs related duties such as cross checking and proofing information
    • Maintains awareness and displays appropriate independent judgment regarding the organization’s policies and procedures
    • Maintenance of the office’s filing system (electronic and paper)
    • Submits check requests, purchase orders, supply orders as necessary
    • Participates in quality activities which support the organization’s mission, philosophy, customer service and process improvement goals
    • Consistently apply HopeHealth’s values in all aspects of work, complying with established HopeHealth mission, policies, procedures and objectives in quality assurance, safety, environment, infection control and HIPAA compliance
    • Employs the strictest confidentiality concerning all matters
    • Maintains a professional demeanor at all times
    • Other duties as required/requested

What are the qualifications for this job?

  • Bachelor’s degree or an equivalent combination of education and experience required. Minimum of 5 years related experience.
  • Excellent computer skills including advanced knowledge and working experience of Windows based environment including Microsoft word, Excel, Power Point and other software programs necessary to meet the needs of a high level executive.
  • Previous experience with maintaining appointments, intercepting phone calls, scheduling meetings and prioritizing of all correspondence via telephone, computer, and/or cell phone.
  • Must be able to maintain the strictest of confidence regarding all activities for the CCO.
  • Valid driver’s license with an automobile that is insured in accordance with state and/or agency requirements and is in good working order.
  • Ability to read, write and analyze data presented. Ability to effectively communicate verbally or written to all levels of staff and or customers. Handle concerns, complaints effectively and in a timely manner.
  • Ability to evaluate situations according to established standards and policies. In addition, ability to define problems, collect data, establish facts and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
  • Must be able to use computers proficiently. Significant experience with database programming at the input and report running end is required.

    Advanced knowledge of Word, Excel, PowerPoint and Outlook is required, as is knowledge of spreadsheets, databases and graphics.
