Job description

Brandeis University is embarking on a search for a Space Analyst, a pivotal role in the management and application of the university's spatial data to support business systems in Finance, the Registrar, Facilities Administration, and University Events. The position requires both technical and communication skills along with the ability to work with a high degree of independence and initiative. The key responsibilities, outlined in detail below, include oversight of the Computer-Aided Facilities Management (CAFM) system to ensure the integrity of data representing nearly 3 million square feet of space, planning in response to space requests from the community, and drawing controls so that floor plans accurately reflect room configurations and use.
Reporting to the Director of Campus Planning, the preferred candidate will possess experience in higher education and a proven track record of effectively utilizing Campus Space and contributing to the long-term planning and development of campus facilities.

Key Responsibilities:
CAFM Space Database Management (50%)

  • Administer and evolve the University's space management and planning database
  • Ensure space classifications are in adherence with FICM standards
  • Administer an annual space survey to maintain accurate, comprehensive space data
  • Develop and produce reports from the database upon request
  • Train other campus users in the use of the database
  • Connect space data with data from other campus systems (e.g., GIS, Maximo, 25Live, etc.)
  • Continue to develop the space database to capture more spatial information (for example, donor-named spaces, building amenities, accessible bathrooms, etc.)

Space Planning (30%)
  • Support the planning processes through the development, implementation, and close-out of capital projects of all sizes. Tasks may include option development, programming, test fits, application of space allocation metrics, review of room number systems, and support for equipment, furniture, and move planning
  • Collaborate and communicate with various stakeholders to assess current space utilization and identify opportunities for efficient space use
  • Summarize data, draw conclusions and inferences, and prepare reports and/or presentations in graphic and tabular formats to aid University leadership decision-making related to space requests
  • In addition to the CAFM system, develop and/or maintain tools that represent the campus (e.g., campus maps, site surveys, departmental website, etc.)

Drawing Controls (20%)
  • Ensure that the close-out process for all capital projects results in drawings sets that meet Brandeis' expectations, starting with instructing project managers and design teams about standards and ending with a review of project close-out docs
  • Add renovation and new project information to the official campus drawings and space database and ensure floor plans are accurate (including through field verification).
  • Develop and implement a quality control system to ensure that drawings reflect existing conditions at all times.
  • Create new official university drawings summarizing the physical qualities of the campus

About Brandeis University Campus Planning
Brandeis is an R1 university located in Waltham, MA, next to the Brandeis/Roberts MBTA commuter rail station on a 235-acre residential campus with nearly 3 million gross square feet of space in 100 buildings. The Office of Campus Planning is tasked with advancing the university's mission by creating both short-term and long-term plans that promote the strategic utilization of physical assets throughout the campus. The office works closely with the Academy and Administration to devise efficient solutions for space requests, conduct data-driven analyses, and to develop capital projects that are subject to review and approval by senior leadership and subsequent implementation by Capital Programs.
Qualifications
  • Bachelor's degree required, preferably in a field related to planning, design, project management, or library science.
  • Minimum of 3 years' experience in the field of data analytics and/or database management, preferably in a space planning and/or higher education setting.
  • Expert understanding of Autodesk AutoCAD and Microsoft Excel.
  • Experience with space database management software, with a preference for those with knowledge of FM: Systems software
  • Experience with data analytical and visualization software preferred.
  • Experience with Adobe Creative Suite, Project and PowerPoint preferred.
  • Familiarity with building floor plan conventions and standards, metrics for space allocation, and FICM space use codes.

Knowledge, Skills & Abilities
  • Ability to independently resolve complex problems and consult with others as necessary, manage multiple relationships, and to work effectively as a member of a project team.
  • Enthusiasm for field survey work as well as capability for being productive working remotely.
  • Experience with data analysis is essential.
  • Highly developed organizational skills.
  • Ability to communicate clearly, both verbally, graphically and in writing.
