C-SUITE EXECUTIVE ASSISTANT EXEMPT $55,000-$60,000 Annually
The Executive Assistant is responsible for providing comprehensive support to the C- Suite Leaders, Board of Directors, and Executive Team and managing the organization’s executive operations. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality. This position also requires self-initiative, independent thinking, motivation, an outgoing personality, positive public relations acumen and a need for accuracy in all work.
QUALIFICATIONS: Bachelor’s degree in business administration or other closely related field strongly preferred. 2 years of experience working in an executive administrative assistant capacity (4 years preferred). Significant executive support experience, including supporting C-level executives. Nonprofit board experience is highly preferred.
ESSENTIAL PHYSICAL REQUIREMENTS: This is sedentary work requiring the exertion of up to 10 pounds of force occasionally and a negligible amount of force frequently or constantly to move objects; work requires fingering, grasping, and repetitive motions; vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels; visual acuity is required for preparing and analyzing written or computer data, operation of machines, determining the accuracy and thoroughness of work, and observing general surroundings and activities; the worker is not subject to adverse environmental conditions.
PRIMARY RESPONSIBILITIES: (Any one position may not include all the following nor do all the listed examples include all duties and responsibilities which may be required of the position).
Provide sophisticated calendar management for the CEO. Prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements, provide regular updates to CEO.
Act as a liaison and provide support to the Board of Directors.
Arrange and handle all logistics for Board meetings and events: schedule meetings; draft agendas; develop, compile, and distribute presentation materials; and record meeting minutes on behalf of Board Secretary, including room set up and snack preparation.
Complete a broad variety of administrative tasks that facilitate the CEO’s ability to effectively lead the organization, including assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside entities; composing and preparing correspondence; maintaining contact lists; making travel arrangements; and completing expense and mileage reports, etc.
Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO, including those of a highly confidential or critical nature. Prioritize and determine appropriate course of action, referral, or response, exercising judgement to reflect CEO’s style and organization policy.

Work closely with the CEO to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Act as a "barometer," having a sense for the issues taking place in the environment and keeping the CEO updated. Anticipate CEO’s needs in advance of meetings, conferences, etc.

Maintain open communications with the leadership, development, and HR team, including meeting regularly and providing information and documents as needed.

Coordinate all Executive Team meetings and retreats and assist with staff meetings and events as needed.

Work with the Executive Team to coordinate the CEO’s outreach activities. Follow up on contacts made by the CEO to cultivate ongoing relationships.

Adapt to change and reprioritize as schedules change.

Some evening and weekend work is required for this position.
