General Purpose: This position will join the Investment Banking COO organization as a Business Project Manager primarily reporting to the Chief Operating Officer. The Stout Investment Banking business consist of industry verticals: Industrials, Business & Industrial Services, Healthcare, Consumer, and Professional & Government Services, and products lines: ESOP Advisory, Debt Capital Markets, and Financial Sponsor Group. The Business Project Manager will serve as a trusted advisor to the entire Investment Banking organization spanning from junior bankers to senior bankers, including the Head of Investment Banking and Industry & Product Group Heads.
Major Duties and Responsibilities:
  • Develop the skills and complete training to become a subject matter expert in DealCloud
  • Assist and manage DealCloud CRM system - implementation, monitoring, and supporting best practices
  • Work closely with the team to ensure complete and accurate data and functional information on a timely basis
    • Audit of DealCloud - data clean-up and revamping set up
    • Help manage the pipeline, interactions, referrals, and other supporting functions
    • Work on various ad hoc initiatives
  • Create process overviews, trainings, and updates regarding DealCloud to ensure consistency within the team
  • Assist in building custom workflows, dashboards, and reporting to support the Investment Banking team
  • Manage the Engagement Lifecycle
    • ELM - conflict checks, matter number requests
    • IB Matter Setup
  • Identify opportunities to enhance and establish best practices across the team
  • Event planning and execution
    • Providing support to executives by creating proposals for relevant business events
    • Coordinating with the venue manager to select an appropriate site for the event
    • Overseeing the development of a budget for the event, including all costs associated with venue rental, entertainment, catering, and other event elements
    • Arranging travel plans for speakers or performers who will be attending the event
    • Coordinating with catering staff, including selecting menu items and crafting a custom food and beverage plan
    • Planning the event's agenda
    • Managing the event staff to ensure that everything goes smoothly during the event
    • Managing all aspects of the event planning process and coordinating with other departments to ensure that all details are taken care of
  • Arrange and coordinate travel schedules and reservations for the investment banking group
  • Prepare correspondence and assist with preparation and editing of presentation materials utilizing Microsoft Office
  • Assist with logistics for offsite management presentations (travel, hotels, conference meeting space, lunch, and dinner reservations, etc.)
  • Prepare, track, and reconcile expenses for team members including expense report preparation

and reconciliation for senior level bankers across the team
  • Communicate project-oriented goals, milestones, and identify challenges earlier the process
  • Partner across various departments and levels (HR, Compliance, Legal, Procurement, Finance and Accounting)

Requirements / Qualifications:
  • 4-year college degree in Communications, Accounting or Finance a plus
  • 4 years of previous experience necessary; In-depth understanding of middle market investment banking and supported investment banking teams in previous roles
  • Excellent verbal, written, and interpersonal communication skills.
  • Entrepreneurially minded individual with strong analytical, comprehension and problem-solving skills
  • Previous experience managing CRM Tools (DealCloud, Salesforce, or similar CRM Systems)
  • Ability to prioritize tasks, work on multiple, meet deadlines in a rapidly changing environment
  • Ability to partner, collaborate and consult with peers across the group from junior level to senior level management
  • Ability to manage and multi-task various important large-scale initiatives
  • Ability to research and report on a variety of issues using problem solving skills
  • Ability to work independently
