As a Business Operations Coordinator for the City, you will be interacting frequently with department personnel, community organizations, vendors, and the public while assisting with overseeing and managing all aspects of facility rentals and ensuring the effective and compliant operation of permitted events.

Essential duties and responsibilities include:

  • Coordinate allocations, contracts, and permits within the city park system including races/fun runs, stage rentals, meetings, conferences, weddings, mobile food vendor permits, and other special occasions.
  • Ensure all required documentation, licenses, and permits are obtained and maintained while processing rental agreements, contracts, and payments in accordance with established procedures.
  • Collaborate with internal departments including Communications, Police, Fire, Public Works, and Code Enforcement to ensure seamless event execution.
  • Supervise and liaise with relevant staff ensure facilities are prepared to department standards.
  • Provide exceptional customer service by addressing customer needs and concerns promptly and professionally.
  • Seek feedback from customers to continuously improve services, refine policies and procedures, and enhance the overall rental experience.
  • Coordinate with security personnel and relevant stakeholders to address potential risks and ensure a safe environment.
  • Implement measures to safeguard city owned facilities and land during events, including security protocols, crowd control, and emergency response plans.
  • Conduct regular inspections to identify and address safety or maintenance issues and provide department leadership with potential venue improvements.
  • Periodic on-site visits of facilities during rentals and allocations ensuring proper set-up, adherence to policies and procedures, proper clean-up, and securing facilities and supplies.
  • Act as a point of contact for high-profile customers or highly publicized events, providing strategic guidance and ensuring customer expectations are exceeded.
  • Maintain and manage accurate event and rental calendars to ensure the booking and scheduling of rental spaces to provide optimal utilization and avoiding scheduling conflicts.
  • Conduct site visits to showcase available spaces to understand customers vision and objectives and provide input and guidance to ensure customer satisfaction.
  • Monitor expenses and provide regular reports on facility utilization and budget performance.
  • Other related duties, as assigned.

Qualifications and Skill Requirements:

Formal Education: Bachelor's degree in recreation, physical education, or related field.
Relatable Work Experience: Two (2) years of experience in recreation.
Training, Licenses, and Certifications: Valid Class C Texas driver's license. First Aid/CPR Certification.
Preferred Qualifications: Two (2) years of customer service experience.
Disclaimer: Unless otherwise stated, applicants are permitted to substitute two years of related full-time experience for one year of higher education or one year of related higher education for two years of experience in order to meet the minimum requirements of the job. One year of full-time experience is define as 30 or more hours worked per week for 12 months. One year of higher education is defined as 30 credit hours completed at an accredited college or university.

  • Longevity pay of $8 per month begins with the first anniversary and will be paid on a separate paycheck in December of each year.
  • Retirement plan includes a 7% contribution of an employee's gross salary to the Texas Municipal Retirement System (TMRS) with a City contribution match of 2 to 1 (14%) at retirement.
  • Retirement eligibility requires 5 years of service at age 60 or 20 years of service at any age.
  • Employees also have an additional retirement fund option to participate in a 457 plan.
  • Long-Term Disability is employer-paid and covers 60% of the employee's salary up to $7,500.
  • Military leave provides up to 15 days of paid leave per fiscal year for eligible employees.
  • Education reimbursement assistance up to $5,000 per fiscal year.
  • Employer-paid basic term life insurance policy two (2) times an employee's base salary, up to 325K maximum.
  • 40 paid service hours are available to volunteer within our community.
  • Up to 160 hours of paid parental leave to eligible employees following the birth of an employee's child or the placement of a child with an employee in connection with adoption, foster care, or other legal placement to care for and bond with the child.
