Job Title: Building Attendance Secretary 

 

Reports To:  Building Principal @ Mascoutah High School

 

FLSA Status: Hourly; 7.5 hour day

 

Work Days:  200 a school year. To be prorated for the 2023-24 school year.
                   
Job to begin November 2023

JOB SUMMARY

 

To provide clerical and secretarial assistance to building administrators; conveying information regarding school functions and procedures; navigating student information system; and supporting the broad array of services provided to students, parents, instructional and support employees; and to coordinate work of other school clerical employees. Position will specifically work with student attendance, including running reports for building, families, and state reporting. 

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

 
  • Essential duties of this position include the following.  Other duties may be assigned.
  • Maintains student attendance through Attendance Management system and verify absences through parent contact in timely manner.
  • Prepares student attendance reports for use in the building/district and state reporting.  
  • Prepares, copies and distributes notices, memoranda or other correspondence for the purpose of providing communications for the administration. 
  • Assists in maintaining documents, files and records for the purpose of providing up-to-date reference and audit trail for compliance.
  • Assist visitors to the office, including students, parents, substitutes teachers, and others.
  • Answers telephone calls, and provide information and assistance to callers.
  • Evaluates situations for the purpose of taking appropriate action and/or directing to appropriate personnel for resolution.
  • Distribute incoming mail appropriately; sends outgoing mail.
  • Responds to inquiries from parents providing information, facilitating communication among parties and/or providing direction regarding student fees and other collections.
  • Performs other related duties, as assigned, for the purpose of ensuring the efficient and effective functioning of the school.

 MINIMUM QUALIFICATIONS
  • Any combination of education and experience providing the required skill and knowledge for successful performance

  • Effective communication skills (written & oral)

  • Graduation from high school

  KNOWLEDGE, SKILLS, AND ABILITIES
  • Ability to describe problems and work orally or in writing to supervisor as required.

  • Ability to establish and maintain cooperative working relationships with others contacted in the course of work.

  • Ability to carry out instructions furnished in written or oral form.

  • Ability to add, subtract, multiply and divide, and perform arithmetic operations.

  • Ability to understand, apply and use personal computers and software applications (Google Suite, the Internet,  electronic mail); work within the student information system. 
  • ?Ability to work in student information system software programs, specifically Skyward.
  • Ability to problem solve job-related issues.

  • Ability to work with a diverse group of individuals.

  • Ability to process paperwork accurately according to standardized procedures.

  • Ability to maintain confidentiality of information regarding students, employees and others.

  • Ability to be organized, maintain accurate records and process time management skills.

  • Ability to work well with teachers and parents. 

  • Knowledge of office management procedures.

 

EVALUATION
The principal and/or assistant principal is the person directly responsible for the administration of the evaluation system.  The Assistant Superintendent and/or Superintendent may evaluate when deemed necessary.

 

An evaluation report will be completed at least two times during the first year of employment and annually thereafter.  The evaluator will conduct a conference with the employee concerning the written evaluation. Any unsatisfactory rating will be handled in accordance with district policies and procedures.
