Job Summary
The Broker and Consultant Service Coordinator is responsible for providing administrative services and support to members, clients, brokers, agents and plan administrators, as well as Sales and Service Coordinators in the department. Acts as a point of contact for existing brokers, clients and providers to resolve issues, respond to inquiries, and improve quality of service. Supports Client Service Specialists (CSS).
Essential Responsibilities
- Compiles information and supporting documentation needed to prepare proposals (RFPs) and assists CSS’s and department personnel with completing RFP request forms.
- Prepares renewals (individual and group), tracks and logs into Aldera all returned group renewals.
- Assists and supports CSS’s with questions, job orders, and other requests as needed and answers and addresses Producer Care emails, Group Care emails & portal tickets in all states.
- Processes brokers and verifies broker information. Maintains broker files.
- Responsible for processing new WA, OR & CA groups. Verifying and certifying all information to make a complete file including submitting group application paperwork to broker/client, assigning group numbers, preparing Group Service Agreements, creating a group files, sending new group announcements and processing all group changes in Aldera.
- Provides for Notification of Compliance of any non-standard Group arrangements that could necessitate special filings in a timely manner.
- Creates and manages Portal login information for groups and brokers and broker’s weblinks.
- Prepares broker Kits, Plan Guides for new groups and new group contacts and various mailings as instructed.
- Assists with billing, enrollment and MS inquiries from clients/brokers/TPAs/CSSs to assist clients before passing along to another department, and with marketing & sales related projects.
- Assists with materials for sales and service personnel and preparing procedures for sales and service processes; assists in audit of agent, proposal and group files.
- Audits Agent and Group files to ensure compliance.
- Assist with GeoAccess and Disruption Reports and with large group RFP’s.
- Assists and supports management with the establishment of new product lines, rate determination and the development of related forms.
- Assists with Exchange effectuation, utilization and retention processes including organizing emails and other communications with membership.
- Strong knowledge of business, sales and service operations in a dental plan member/provider environment.
- Strong knowledge of service/sales principles, HIPAA, PHI and other applicable regulations and requirements in a healthcare setting.
- Strong written and verbal communication skills and problem-solving techniques.
- Effectively resolving client/provider/TPA/etc. issues, effectively addressing inquiries to the satisfaction of the questioner, elevating issues as appropriate.
- Efficiently, accurately and completely supporting processing brokers and large groups.
- Effectively working with team members across the enterprise to accomplish projects and performance goals.
- Maintaining a high level of integrity and appropriate confidentiality in all activities and efforts.
- Addresses and resolves a wide variety of moderately complex service and sales support issues and problems.
- Supports improvements in processes, programs, productivity and services.
- Performs any and all additional duties as requested and directed for this position.
Basic Qualifications

- Minimum of 2-4 years of related experience
Education
- High school diploma or equivalent
- Some college preferred
License, Certification, Registration
- Obtain and maintain Agent License in all 3 states is required within six months of hire.
