Job description
The Box Office Assistant supports Box Office operations at the James Lumber Center for the Performing Arts (JLC), a multi-theatre venue at the College of Lake County. This is a lead position on the front of house staff, working to build relationships with students and patrons to positively impact their event experience and ensuring the smooth operation of the venue during performances. The Box Office Assistant performs daily Box Office responsibilities, including customer service and ticket sales, as well as working shows and events at the JLC and other venues, requiring a flexible schedule (daytime, evening and weekend hours as scheduled.) Under the direction of the Patron Services Coordinator, this position also assists with training, scheduling and on-site direction of Part-Time Flex Front of House staff.
Required Qualification(s)
- High School diploma or equivalent
- A minimum of one (1) year of customer service experience
- Previous cash and credit card handling, and financial reconciliation work experience
- Expertise using software programs in a work environment, preferably Excel, with intermediate to proficient skill
- Proven ability to work effectively and constructively with persons of diverse cultures, language groups, and abilities; demonstrate sensitivity to and ability to work with the diverse academic, socioeconomic, cultural and ethnic backgrounds of community college students, faculty, and staff, including those with disabilities; establish and maintain effective working relationships with those contacted in the course of work.
Desired Qualification(s)
- Previous Box Office work experience using online ticketing software, preferably Etix or other complex online software
- Work experience in a performing arts front of house operation.
- Supervisory experience during events
- Bilingual in Spanish and English

Summary of Essential Functions
Student/Customer Service: 45%
- Daily Box Office customer service, including processing ticket sales via Box Office window and telephone, as the frontline representative of the JLC, building goodwill with the community and students.
- Answer general inquiries about events, college information, directions, etc. via the Box Office window, email or telephone.
- Event Support during shows, serving as Box Office Supervisor, House Supervisor or Merch Sales.
- Supervise and train student workers (Box Office operations and events).
- Manage outreach and sales to Lake County schools to communicate information regarding daytime shows; maintain updated contact information for schools, teachers and administrators.
- Assist with coordinating special events as needed.
Department Operations/Processes: 40%
- Maintain inventory for ticketing and the snack bar items for resale; re-order as needed.
- Assist in the training, scheduling and supervision of Part-Time Flex staff.
- Assist with daily reporting and processing of daily deposits.
- Maintain and update patron information in the ticketing system, assist with event building and troubleshooting.
- Process school group sales and rental deposits, and communicate with CLC departments regarding these programs (campus police, facilities, etc.).
- Manage end-of-performance Box Office, merchandise, and concessions reports/settlements, working with staff to resolve issues.
- Attend weekly departmental meetings, along with other scheduled JLC and CLC meetings.
Marketing: 10%
- Pull requested reports from the ticketing system (first time buyers/ ticket reminders).
- Assist marketing team as needed, providing insight and data relating to JLC customer base.
Other: 5%
- Other duties as assigned.
