We are a small Accounting Company currently seeking to fill a full-time or part-time role (30+ hours a week) for a Bookkeeper/Secretary position. Administrative duties include answering and directing phone calls, making meeting arrangements, maintaining appropriate filing systems, and assisting with general office needs. Bookkeeping responsibilities include processing accounts payable and receivable and managing billing and invoices. Our ideal candidate should have excellent oral and written communication skills and knowledge of Microsoft Office programs and accounting software such as QuickBooks.

 

Employment starting immediately.

 

PRIMARY JOB RESPONSIBILITIES INCLUDE:

· Accurate postings of account receivables, account payables, and reconciling bank accounts

· Depositing checks, tracking receivables and following up by phone/email

· Preparing accounts payable and filing invoices

· Answer phone calls in a professional manner, and direct calls to the appropriate staff

· Organize and schedule appointments

· Administrative duties such as filing, maintaining office files, records, faxing and photocopying

· Greet and assist clients and customers

· Assist in ordering office supplies and filing them appropriately

 

REQUIREMENTS AND QUALIFICATIONS

· Minimum 1.5 years of work experience in bookkeeping/secretary position

· Excellent phone and customer service skills in order to create, maintain and enhance client relationships. Includes speaking English clearly and distinctly using appropriate professional vocabulary.

· Computer skills with knowledge of QuickBooks, Quicken, and Microsoft Office programs including Word, Excel and Outlook

· Skilled in writing routine business correspondence consisting of emails and office memos

· Ability to work well with people of all levels and backgrounds, both internally and externally

· Proactive, self-starter with ability to work well with minimal supervision and manage workload effectively to complete demands

· High degree of accuracy and attention to detail

· Ability to operate standard office equipment including computers, telephone systems, copiers, and fax machines

· Must have proper identification for employment

· High level of integrity to keep information strictly confidential
