JOB TITLE: Billing Coordinator

SUMMARY:

This position is primarily responsible for assisting the Show Department Account Executives to compile all information required for timely and efficient billing prior to submission to the Accounting Department for processing; it is vital that all information is correct and up to date while meeting submission deadlines. This position reports directly to the Sales Account Executive Assistant and follows the schedule as set by the supervisor.

PRIMARY RESPONSIBILITIES:

· Prepares bills and invoices according to Billing Checklist:

- Prepares profit and loss worksheet, time sheets, crew expenses, vendor invoices, matches R2 to most recent quote, verifies when deposit is required and amount, and secures Client Purchase Order numbers.

- Updates profit and loss worksheet, time sheets, purchase orders and R2 quotes.

- Saves time sheets, sign off sheets, vouchers, crystal report purchase order summary, last quote version, crew email, and working invoice.

- Prints vouchers

· Works with Account Executive to prepare billings and customer invoices

· Verifies all show-related costs and reviews with Account Executive and Project Manager

· Obtains Sales Executive Assistant approvals on all invoices prior to submission to Accounting for processing and invoice finalization

· Posts final invoice balance details (dates) and notes on the sales tracker

· Performs administrative tasks and completes special projects as assigned by Sales Executive Assistant

SECONDARY RESPONSIBILITIES:

· Performs other administrative duties as assigned related to events

QUALIFICATIONS:

High School Diploma required

2+ years’ in Audio/Video or related live events industry setting preferred

2+ years’ experience in an office preferred, billing experience a plus

High degree of accuracy, strong attention to detail, and deadline oriented

Proficient in MS Office and Excel

Well written and verbal communication skills

Strong interpersonal skills

Analytical and problem solving skills

Job Type: Full-time

Pay: $22.00 - $25.00 per hour

Expected hours: 40 – 50 per week
