Encompass Youth Services provides quality Substance Use and Mental Health treatment for youth ages 3-20 and their families. Job Summary:
Encompass Youth Services is currently hiring for a Bilingual (English/Spanish) Program Assistant. This is a Full-Time position Monday – Friday located at our 380 Encinal Street campus in Santa Cruz and is positioned at our front reception desk providing customer service to adults, youth and families who are seeking or receiving services.
The Program Assistant holds an important role of processing client referrals, greeting clients and community members and supporting our Youth Services programs in daily operations and a variety of clerical, administrative, and fiscal tasks. This position’s primary responsibilities are to provide excellent customer service, process and track client referrals, manage daily site operations, and monitor administrative systems and procedures.
Duties and Responsibilities:
- Provide excellent customer service to clients and community partners
- Answer and direct calls to the appropriate party
- Screen client calls and refer to correct resources as needed
- Process incoming referrals for Youth Services programs
- Greet clients and interface with counselors to schedule rooms
- Process, sort and deliver mail, courier items, and packages
- Order office supplies, prepare and submit invoices for payment
- Assist with setting up for trainings and meetings
- Support program managers and Youth Services staff as necessary
- Perform accounting, client tracking, data entry, file maintenance, and database procedures
- Act as liaison with vendors and Encompass administration
- Track various reports and provide feedback to staff and management
- Other clerical and administrative duties as assigned
Qualifications:
- Excellent customer service skills and interpersonal/verbal communication skills
- Ability to respond positively in all circumstances and to work calmly under pressure
- Strong organizational abilities
- Strong computer skills; Proficiency with Microsoft Word and Excel required
- Ability to prepare clear, concise and accurate letters and documentation
- Solid command of the English language, spelling, grammar, punctuation
- Bi-lingual (English/Spanish) required with ability to provide verbal and written translation
- California Driver’s License with reliable transportation
- At least 2 years office or administrative experience
