Position Summary


The Benefits Administrator should be considered the subject matter expert ensuring data integrity and the direct point of contact for our customer’s benefit support. This role is responsible for all “hands on” platform configuration and related activities to support a book of clients for both benefit administration and annual enrollment processes. The Benefits Administrator will make sure our customers can hire, onboard, and understand their benefits for themselves and relate to their employees. You will be responsible for developing their knowledge and maintaining compliance on their behalf. This includes payroll system maintenance of client benefits programs including health, dental, vision, short-term and long-term disability, life insurance, travel and accident plan, flexible spending plan, and retirement plans.

Essential Duties and Responsibilities

The essential functions include, but are not limited to the following:

  • Maintain all benefit plans, rules, and enrollments in payroll software
  • Update/create benefit plans, rules, and documents at renewal
  • Build out and test benefit enrollment workflows
  • Demonstrate enrollment environment with client
  • Create employee notification including enrollment instructions
  • Troubleshoot and resolve enrollment issues with employees during enrollment
  • Post enrollments in payroll software and assist in tracking pending coverages due to EOI/SOH
  • Provide benefits brokers with pre-renewal census and post enrollment census from Payroll Platform
  • Create process with outside brokers to ensure client is not required to participate in the day-to-day transactions involved with enrollments and terminations
  • Manually enter enrollments for clients that don’t use online enrollment
  • Calculate and adjust deduction changes for enrollments and inform client and/or employee of any adjustments due
  • Review payroll after open enrollment, prior to posting to ensure accuracy
  • Process Flex/HSA elections to carrier
  • Audit elections in payroll platform vs carrier statements on a semi-annual basis
  • ACA reporting
  • Benefit reconciliation
  • Build, update and maintain retirement plans in the payroll system
  • Consult with employees about eligibility and other pertinent issues
  • Resolve employee issues with Benefits Administrators and insurance providers
  • Coordinate daily benefits processing; handle enrollments, COBRA, terminations, changes, beneficiaries, disability and accident and death claims, rollovers, QDROs, QMCSOs, distributions, loans, hardships, and compliance testing
  • Oversee maintenance of employee benefits files, maintain group benefits database, and update employee payroll records
  • Perform other related duties as assigned

Minimum Qualifications (Knowledge, Skills, and Abilities)

  • Computer proficiency and technical aptitude with the ability to use Microsoft products, including PowerPoint; experience with HRIS and benefits databases
  • Previous payroll experience is a plus
  • Previous experience supporting a multi-client organization is preferred
  • Familiarity with benefits and payroll software - iSolved and PrismHR highly preferred
  • Ability to manage several complex projects simultaneously while working under pressure to meet deadlines
  • Knowledge of benefits contract language
  • Knowledge of all pertinent federal and state regulations, filing and compliance requirements, both adopted and pending, affecting employee benefits programs, including the ACA, ERISA, COBRA, FMLA, ADA, Section 125, Medicare, etc.
