Job description

A local non-profit agency is seeking a candidate to provide administrative support for a Behavioral Health agency. The position works closely with all areas of the organization to ensure high quality services are delivered for our clients. The position performs specialized administrative duties and assists the team with insurance verification, scheduling, filing, client file maintenance, meeting coordination, report compilation, handling incoming calls for information/records and contacting resources and providers to facilitate referrals outside of the agency.

Our agency works with children, adolescents, adults and families by offering comprehensive Behavioral Health services, supports and programs for those that need interventions for mental health and/or substance use disorder services.

The candidate must be able to communicate well orally and in writing and be able to establish a professional rapport with co-workers, area agencies, project partners, patients and their families and perform the following functions:

1)Provides administrative and clerical support for the agency including correspondence, data input, filing, assembling files, and other duties. Answers the phone for the clinical staff, directs calls to team members, assists in locating clients when needed. Answers the main line when the other administrative professionals are out of the office or attending to other agency needs.

2) Provides assistance for Behavioral Health staff in scheduling clients for appointments, including reminder calls and correspondence.

3) Registers new patients and updates existing patient's information by completing eligibility documents including insurance information. Provides Intake services for families that come to the agency for services. Conducts insurance verification, billing reviews and assists in data management and reporting. This position will assist clients using our Patient portal to access appointments and complete documents.

4) Acquires Insurance pre-approval when needed. Collects client co-pays and processes receipts.

5) Collaborates with agency clinical, management and other staff to receive, review, and document incoming and outgoing requests for information, documentation, referral packets, follow up for clients and other agencies.

6) Greets guests and visitors, and responds to general inquiries about services.

7) Ensures that the workroom areas are clean and presentable at all times and coordinates cleanup. Assists in reserving conference, testing and other rooms for staff and client/stakeholder meetings.

8) Assists with keeping and maintaining an inventory of all equipment and supplies.

9) Assists with other ancillary needs as directed such as assisting in making outside referrals, outreach activities, and coordination of care with outside agencies.

11) Helps maintain reporting/tracking requirements such as documentation of activity of Provider Stats, patient sign-in logs, Referral Tracking, and other required forms for administrative need and quality assurance purposes.

12) Reviews appointment logs and other clinical documentation to ensure clinical staff are submitting timely billing. Participates with billing audits with the Finance & Budget Manager to resolve any billing denials.

13) Transfers confidential documentation to the courts and "clocks" reports for submission to the courts.

14) Picks up referrals from various offices and assists in processing referrals and scheduling patients.

15) Responsible for initial set up and maintenance of patient clinical chart in the electronic health records system. Informs referring agencies when patients do not show for appointments or reschedule appointments.

16) Responsible for maintaining confidentiality, including information covered by HIPAA.

17) Perform all other duties as assigned.

Knowledge, Skills, and Abilities:

1) Must demonstrate superior customer service and people skills, being able to respond to the immediate needs of patients or supervisors. Must be a mature professional and assist in leading the high professional standards for the team which means maintaining a positive attitude towards co-workers, clients, management and co-workers. Must have strong personal initiative and be self motivated to work with the team to ensure deadlines are met, client charts are up to date and work on special projects.

2) Must have effective oral and written communication skills and be able to effectively reach diverse populations and entities.

3) Demonstrate the ability to work independently in carrying out assignments while remaining reliable and dependable.

4) Ability to demonstrate basic levels of computer literacy, with a functional understanding of Microsoft Windows Operating Systems in an office setting.

5) Demonstrate a working knowledge of routine office hardware and equipment (e.g. printers, copiers, fax machines, etc.).

6) Must be familiar with entering data into a healthcare database program (EHR).

7) Must demonstrate the ability to maintain accurate records and preparing clear and accurate reports for informational, auditing, and operational use, including capacities for attention to detail and for reviewing and verifying accuracy of data.

8) Demonstrate the competency and integrity to maintain the confidentiality of organizational, employee, and client records.

Job Type: Full-time

Pay: $14.00 - $17.00 per hour
