GENERAL DESCRIPTION:
The Department of Family Services (DFS) is seeking a Business Office Coordinator to join a team that is passionate about serving Wyoming children and families. This position will ensure that the day to day operations and systems of the DFS State office, located in Cheyenne, are managed to operate with maximum effectiveness and efficiency to best support the employees and clients served.

ESSENTIAL FUNCTIONS: The listed functions are illustrative only and are not intended to describe every function which may be performed in the job level.
Lead and coordinate special projects for the Division and Department, with a focus on liaising with Enterprise Technology Services (ETS). Develops project schedules, and develop scope and pilot plans for testing projects
Compiles data conducts analysis and evaluation of data and prepares reports, providing operation information for use in the evaluation of the effectiveness of designated projects/programs
Manage the system access tool and ensures system access and email distribution lists are maintained and regularly updated
Develop systems and procedures to track all agency assets, including IT assets, licenses, and fixed assets
Coordinates, manages and tracks agency inventory for the purpose of Technology Replacement Planning (TRP), licensing, deployment and surplus. Analyze and provide IT equipment information to the budget office and ETS for TRP requests
Develop and recommend policies and processes for the agency's motor vehicle management (MVMS)
Develop a system and procedures to track all agency leases and associated contracts. Works with Administration and Information to manage lease bids and renewals
Serves as the liaison between DFS staff and ETS to obtain quotes, approval numbers, and recommendations on IT purchases. Tracks, monitors and reconciles the Agency's 400 series dollars to ensure accurate and necessary spending of IT dollars
Serves as the Executive Assistant to the Director and Support Services Sr. Administrator and manages general office functions for the State office
Develops office-wide Standard Operating Procedures for functions such as correspondence training and policy review
KNOWLEDGE:
Familiarity with IT language and systems
Familiarity with budget and fiscal processes
Project management skills and familiarity with project management lifecycles
Strong written and verbal communication skills
Strong budget and mathematical skills
Ability to research and problem-solve autonomously
Ability to analyze data to inform policy decisions
Ability to facilitate and promote conversation and teamwork

- All positions within the Department of Family Services will require a background check, including the taking of fingerprints, which will be completed through the Wyoming Department of Criminal Investigation, the Department of Family Services, and the Federal Bureau of Investigation, for every successful applicant.
