DAYS: Nine month employment
SALARY SCHEDULE: Rate of pay will be $16.05 per hour

JOB QUALIFICATIONS: A typing test must be taken at the Department of Labor by the closing date. The test
must be 40 average actual net words per minute with a 90% accuracy rate. If you pass the typing test, there
will be further testing with a Basic Office test and an Excel test.
Knowledge of:

  • Operation of standard and specialized office equipment including a personal computer and job-related software such as Word, Excel, or others;
  • Operation of multi-line telephone, voice mail, and intercom systems;
  • Customer service procedures, techniques, and objectives;
  • Basic math, accounting and recordkeeping;
  • Current office practices and procedures;
  • Current record keeping practices and procedures;
  • English grammar, spelling, and punctuation.
Ability to:
  • Type accurately at 40 average actual words per minute
  • Follow written and oral instructions and observe District policies and procedures;
  • Perform a wide variety of clerical and administrative support duties;
  • Operate standard office equipment and a personal computer and job-related software applications for word processing, spreadsheets, and other required applications;
  • Maintain records efficiently and accurately and to prepare clear and concise reports;
  • File and maintain complex records;
  • Establish and maintain effective working relationships with other school employees, supervisory personnel, students, and the public;
  • Communicate clearly and concisely, orally and in writing;
  • Prepare accurate and grammatically correct written reports and prepare and maintain required records, logs, reports, and documentation;
  • Perform accounting and mathematical functions;
  • Respond appropriately to emergency or unusual situations that may involve administering first aid, contacting parents, or dealing with sensitive or confidential issues;
  • Perform multiple tasks simultaneously, including handling interruptions, and return to and complete tasks in a timely manner;
  • Perform time management and scheduling functions, meet deadlines, and set task priorities;
  • Perform a wide variety of duties and responsibilities with accuracy and speed under stress and the pressure of time-sensitive deadlines;
  • Demonstrate integrity, ingenuity and inventiveness in the performance of assigned tasks;
  • Maintain individual and District confidentiality.

Acceptable Experience and Training
  • High school diploma or GED equivalency; and
  • Continued education or experience in performing clerical, secretarial and accounting/recordkeeping duties is preferred; and
  • Ability to complete CPR and First Aid Training; or
  • Any equivalent combination of experience and training which provides the knowledge and abilities necessary to perform the work.

JOB SUMMARY:

The principal function of an employee in this class is to perform a wide variety of secretarial and reception duties related to secondary school attendance. Duties may include public contact, typing and preparing letters or documents using various software applications, entering data into school or District systems and applications, keeping records, logs, ledgers, and related documents, providing general secretarial support for school personnel and working within District specific processes and procedures. The position is differentiated from the Administrative Assistant and Principal's Secretary positions in the singular focus of the job. It is recognized for the volume and complexity of the records and documentation maintained in the specialized work assignment and the number of teachers and students in the school, who often request secretarial support. The work is performed under the supervision of the Principal, Assistant Principal, Head Counselor or other person assigned. The position may direct subordinate employees and supervise student aides. The principal duties of this class are performed in a general office environment.
Essential Duties and Responsibilities (will vary by assignment)
  • Performs administrative support functions with emphasis on an area of specialization as identified below:
    • Attendance - Records and maintain students' attendance records, prepares daily attendance reports, membership and state reports.
  • Cross-trains in other areas of administrative support;
  • Provides secretarial and support services to staff, including but not limited to, taking messages, setting appointments, providing information, processing and preparing documents and correspondence, and inputting data into central computer system;
  • Answers inquiries and provides information on specialized work assignment;
  • Maintains inventory and orders office supplies;
  • Maintains office files, records, reports, and related documentation;
  • Operates standard and specialized office equipment, including computer hardware/software;
  • Generates and distributes numerous computer reports relating to attendance, grades, activities, enrollment and withdrawals;
  • Collects and calculates statistical data;
  • Supervises and trains student aides assigned to the office;
  • Assists students and parents with registration and withdrawal processes;
  • Performs public information duties to explain policies and procedures to students, parents and the public;
  • Creates and maintains a supply of necessary forms;
  • Purchases supplies, equipment, and furniture through District accounting system and verifies receipt;
  • Assists in maintaining building security, including maintaining key and security card inventory and assisting with emergency evacuation and lockdown procedures;
  • Maintains financial records, performs bookkeeping functions, receives and accounts for fee payments, makes deposits, and prepares and distributes financial reports;
  • Generates and distributes computer reports for counselors, teachers, and administrators;
  • Receives and distributes incoming mail and packages;
  • Assists with preparations for parent-teacher conferences, open houses, back to school program and other special events;
  • Organizes and prepares graduation assignments and work registration;
  • Maintains accurate student data information and records;
  • Types forms, letters, bulletins, newsletters, or other documents;
  • Performs scheduling/calendar duties;
  • Administers first aid or minor medical assistance to students, as needed, including dispensing prescription medication when assigned;
  • Performs all work duties and activities in accordance with District policies, procedures and safety practices.

Other Duties and Responsibilities
  • Assists with school assemblies, presentations, PTA meetings, and related special events;
  • Performs other related duties as required.
Essential Physical Abilities
  • Sufficient clarity of speech and hearing or other communication capabilities, with or without reasonable accommodation, which permits the employee to understand verbal instructions and to communicate effectively on the telephone and in person;
