The Manor House at Prophecy Creek by Robert Fair Caterers is a wedding and event venue located in Ambler, Pa. We’re looking for an energetic and experienced Associate Director of Sales, Events, Staff, and Marketing, to join our team! You will oversee all aspects of the Wedding Sales, event sales, and planning process. You are the event planner and a major contributor to the success of our clients’ events! You are responsible for event staff management and being an involved team player in the role when applicable. This job offers a flexible on-site work schedule. The applicant must have a minimum 3 years of Wedding and large event sales experience to qualify.
Responsibilities
Sales and Marketing
- Oversee all social media, website marketing, and collaborate with our marketing firm to stay current with advertising requirements.
- Oversee and be personally involved with new client inquiries across all communication sources, including follow through to the sale.
- Coordinate tour requests with other available associates when you are booked for a particular time.
- Arrange client site visits anytime around their schedule within our hours of operation to obtain the sale.
- Keep a record log up to date with each client tour. Provide statistics to management on a regular basis (every 60 days). Keep an observance on leads and advise of necessary changes to remain current and competitive with the ever-changing market.
- Provide food trends, relay the latest and greatest ideas from the clients to senior management for consideration of a menu change.
- Collaborate with our chefs in the menu design and contents with approval from senior management.
- Ensure the Manor House is always presentable for a site visit by completing light cleaning as needed.
- Various office related tasks associated with this role as an industry standard not listed above are applicable to the job description.
Event Planning and Production
- Be on site for each event.
- Oversee the entirety of the event planning process for each event scheduled at The Manor House from start to finish.
- Arrange site visits with clients and their vendors when requested to do so and offer the new vendors to meet with us for the success of the event flow.
- Provide completed banquet event orders to production managers for their paperwork preparation.
- Oversee and prepare all front of house paperwork for the events in correlation with the banquet event orders. You will hand these off to the appropriate assistant to complete with your approval, within our model.
- Oversee the events and all front of house staff, including hiring and scheduling.
- Ensure the staff has a full understanding of our expectations by way of orientations.
- Conduct tasting events as needed within our model.
- Obtain and provide event planning information within our model. We remain in constant contact of our clients six months out from their event date.
- Obtain and provide billing notes from your final meetings for invoice preparation. You will provide a proofed invoice to the clients.
- Make arrangements to receive all payments on site in person and provide payment information to clients who wish to utilize a third-party delivery service.
- You are the main contact for all our clients, however not expected to address contract concerns beyond a positive answer. Management will support you in these few situations.
Requirements
- Excellent, verifiable, and credible references.
- 3 to 5 years’ experience in wedding and catering sales, event production management, and social media skills.
- Ability to work in a family business atmosphere.
- Able to be genuine and interested in the client’s successful event, and success of our company in a team player atmosphere.
- Able to report to multiple managers in a chain of command, and ability to delegate within your management team accordingly.
- Able to be on time, dressed in the appropriate uniform applicable to the tasks of the day’s requirements.
- Able to delegate and manage under pressures of the event service, including last moment staff changes, event plan changes due to unforeseen circumstances (such as weather) and maintain a positive composure to obtain the best result for our clients and their guests, and our staff.
- Ability to multitask and delegate accordingly within the daily non-event operations for the venue respective to your department.
- Ability to reserve emotions under the stresses of the industry, and request meetings to discuss amicably sharing your points of view in a respectful manner.
- Skilled and familiar with Apple Computer based products.
- Proficient in Microsoft Excel and Microsoft Word, Canva, and other unique tools available to enhance your department’s ability to process information.
- Preference: willingness to assist other departments which support your department when requested as needed, especially in the slower season.
Schedule
- Weekdays, nights and weekends are required for tours/appointments.
- Weekdays may begin as early as 9:00 am, allowing for a later start when you are required to stay later for evening meetings. We allow for the flexible hours and work from home available when applicable.
- 2 days off, per week with managements approval.
Benefits
14 days Personal time off (annually), 7 days of sick time (annually), starting after the first 90 days of employment. This is forfeited entirely upon departure from the company.
Job Types: Full-time, Contract
Salary: Range starting from $55,000 to potential $90,000+ per year, comprised of sales commission and base salary.
