Job description

SUMMARY: This position is responsible for administering multiple grant-funded Education and Training programs; providing leadership to the department's program manager, coordinator, instructors, and support staff. The Associate Director of Education and Training assists in the planning and organization of the department, and helps to oversee recruitment, orientation and assessments, registration, student support services, adult education classes, Bridge, Work-Based Learning (WBL) and Integrated Education and Training (IET) programs.


DUTIES AND RESPONSIBILITIES:

  • Works with the Director of Education and Training (E&T) supervising and advising staff, while monitoring program metrics and outcomes.
  • Works with staff and other key stakeholders to develop a mutual understanding of students' needs, educational and Training opportunities, and activities (including program changes) while monitoring student progress toward completion
  • Oversees all aspects of the recruitment and registration process, focusing on maintaining equitable access, effective communication, leveraging funding sources, and streamlining the awarding process for student applicants. This position will also be responsible for facilitating student support services and meetings while helping to serve as one of the primary points of contact for all students, staff, and stakeholder inquiries.
  • In collaboration with the Director of Education, instructors, and occupational skills instructor, implement all aspects of adult education, Bridge, WBL, and IET programs.
  • Helps serve as the subject matter expert for all E&T programs relating to establishing processes within the department to include procedural functions, methodology, and setup, focusing on equity and efficacy.
  • Assists staff and students with holistic wraparound support services including making referrals to partner agencies for barriers that may interfere with a students ability to complete the term successfully.
  • Manages retention efforts for students with barriers to success by providing early and targeted interventions. Work with students to identify personal, financial, educational, and career-related goals.
  • Leads community outreach efforts to recruit prospective students and support community partnership initiatives related to E&T programs.
  • Monitors E&T program supports service delivery for continuous improvement with a focus on streamlining our service delivery, orientations, and retention process.
  • In collaboration with the Director of E&T, manage the recruitment, registration, enrollment, and data processes for all Education & Training program, which includes students' files and data entry for all the required databases.
  • In collaboration with the Director of E&T, coordinate with community agencies to increase student access to basic needs including housing, childcare, food, healthcare, and transportation resources. Serve as liaison between community agencies and students make appropriate referrals.
  • Helps direct the planning, writing, implementation, and facilitation of training and workshop for departmental policies and procedures.
  • Assists with facilitation of E&T team meetings and staff professional development opportunities as needed.
  • Participates in the Area Planning Council (APC) statewide initiatives, and various internal/external partnership meetings as needed.
  • Participates in related marketing outreach initiatives with internal/external partners.
  • In collaboration with Development, maintain the communication, program information, and additional resources within the E&T webpage, make updates as needed.
  • Assists the Director of E&T with monitoring and tracking of program budgets and expenditures, including barrier reduction funding, and submitting check requisitions, and approving invoices.
  • Assists the Director of E&T with the creation of budgets, grant writing, and other strategic planning projects related to the department programs.
  • Assists with the billing and invoicing processes for E&T, including helping to identify other local/state funds for leveraging opportunities.
  • Assists the Director of E&T in the development of policies and procedures related to the department's operations and supporting students/trainees
  • Provides supervision, support, and progressive discipline to part-time and full-time staff contractors, interns, and volunteers within the E&T department
  • In collaboration with the Director of E&T, conduct performance evaluations for E&T staff.
  • Performs related duties as assigned

SUPERVISORY RESPONSIBILITIES:

  • Directly supervises 10-15 employees within the Education and Training department.
  • Indirectly supervises 3 employer-trainers within other A Safe Haven department(s) or an employer-trainer who partners with A Safe Haven.
  • Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws.
  • Responsibilities include interviewing and hiring candidates, training and assessing employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

QUALIFICATIONS

  • Five years' experience managing and supervising multiple team members.
  • 7 years' experience managing and/or working directly with grant-funded adult Education and Training programs or providers
  • 3 years' experience working with WIOA or other workforce development programs.
  • 3 years' experience managing or working with grant-funded budgets.
  • Master's degree (MA) or equivalent, 7 years of related experience.
  • Bachelor's degree required
