Working under direct supervision of the Sr. Contracts Specialist, Contracts Program Manager or Sr Dir, Contracts, the Associate Contracts Specialist takes direction to gain experience and contract knowledge on how to respond to proposal or contract problems, referring risks, problems and issues to management for review and/or approval. The Associate Contracts Specialist reviews proposals for risk and potential non-compliance during pre-sales analysis and may suggest alternative language for bids or obtain approval to accept risk from senior management. The Associate Contracts Specialist uses our internal applications to ensure compliance with the terms of the contract. Discusses problems and issues with more tenured peers or manager both pre-sales and post-sales. Manages catalogs and performs Contract Management tasks for the successful execution of assigned contracts, such as but not limited to reporting and catalog management.
Responsibilities:
Primary Job Duties

  • Handles post-sales activities of contracts administration ensuring compliance with terms and conditions. Negotiates changes in scope or contract terms and conditions after award with minimal assistance of the VP Contracts (or more senior level Contracts members). Provides guidance and advice on to sales teams on what is in scope to quote under the contract and how to properly quote in accordance with the terms of the contract.
  • Sets up the Contract in Callback
  • Maintains pricing catalogs with “adds” and “deletes”

  • Performs administrative tasks for the Contracts and Compliance team:
  • Updates documents of departmental policies and procedures.
  • Ensures ISO documentation control process is up to date, schedules ISO Meetings and drafts minutes.
  • Updates Sales Hub postings relating to Contracts Team instructions and informational documents and Active Contracts Lists.

  • Handles pre-sales contract activities: reviews non-complex quotes ensuring ability to meet contract obligations; reviews the Terms and Conditions for risk with assistance from VP Contracts; and drafts exceptions list for Bids.

  • Performs all other duties or special projects as assigned.

Required competencies:

  • Intermediate to advanced Microsoft Excel skills with ability to create complex spreadsheets using formulas, including v-lookup, and pivot tables.

  • Attention to detail in composing, keying, and proofing professional business materials

  • Customer oriented with ability to listen to and anticipate needs of the customer

  • Familiarity with the Government and/or commercial procurement process from solicitation through contract closeout

  • Adaptable with ability to switch tasks based on shifting priorities

  • Articulate with ability to express oneself clearly and professionally in written and oral communication

  • Good listening skills with ability to receive information completely and understand what is being said Detail oriented with item by item focus, meticulous attention to detail with ability to proofread for accuracy

  • Interpersonal skills with ability to work well with all levels of the organization

  • Quick study with ability to master a situation or learn new things with minimum direction or training



Min: USD $24.04/Hr. Max: USD $30.29/Hr. Qualifications:
